We are looking to recruit an Auction Finance Assistant for our busy central support team (Monday to Friday, 9am to 5pm) based at our headquarters in Edinburgh. The role works within the Finance team to process auction sale transactions on the Auction Management System (Artisio) for buyer invoices and vendor settlements. It also serves as the first contact point for customer finance queries regarding auction transactions by email and telephone, and engages with customers to settle unpaid invoices for auction and valuation transactions.

The ideal applicant is highly organised, customer‑service oriented, detail‑focused, experienced with banking software and MS Excel, and based in the Edinburgh area. The candidate must be able to work at pace in a close‑knit team and handle tight deadlines under pressure.

Responsibilities
  • Vendor Accounts
    • Ensure settlement statements and related payments are sent 28 working days after sale
    • Verify vendor account details, including addresses, bank details and names
    • Apply carriage charges where necessary
    • Ensure appropriate paperwork and investigations are completed
    • Add appropriate charges to vendor contracts (e.g., photography)
    • Produce and issue introductory commission agreements to vendors
    • Calculate and pay introductory commission
    • Manage client queries, issues and complaints
  • Buyer Accounts
    • Credit control
    • Chase late payments
    • Update auction system when payments are received and print relevant paperwork
  • Pre‑Auction Duties
    • Verify buyer details entered correctly on AMS
  • Auction Day Duties
    • Raise buyer invoices after auction via batch process on AMS
    • Process buyer payments and issue relevant paperwork
    • Assist with printing and mailing invoices as necessary
    • Process after‑sales (in days following auction)
    • Investigate and correct issues arising from sales
    • Handle buyer emails/phone calls with post‑sale issues and enquiries
  • General
    • Answer phone calls to address auction buyer and vendor queries
Personal Specification
  • Customer service experience and good phone skills
  • Proficient with Excel
  • Experience with banking software
  • Attention to detail
  • Excellent communication skills, including listening and clear information delivery
  • Ability to prioritise within tight deadlines and work under pressure accurately
  • Ability to work as part of a team and independently
  • Ability to understand and complete administration procedures in the Lyon and Turnbull style
  • Understanding of the aims of Lyon & Turnbull
Location

Edinburgh City Centre (Hybrid working subject to discussion)

Hours

Monday to Friday, 9am to 5pm (flexibility required during busy times)
