Job Purpose

The Administrator and Tutor Support Officer will play a key role in ensuring courses run smoothly, offering additional support to tutors and learners. The postholder will provide administrative, learner engagement and classroom support to tutors and learners, ensuring that enrolment, attendance, safeguarding, learner records and programme administration are maintained to a high standard. They will act as a first point of contact for learners and support compliance with funding, quality and safeguarding requirements.

Key Responsibilities

  • Learner Administration and Engagement
    • Welcome learners and visitors to the training centre.
    • Register and sign in learners for each training session.
    • Monitor attendance and punctuality records.
    • Follow up learner absences and report concerns to tutors and management.
    • Assist learners with general enquiries and provide information regarding their programme.
    • Support learner onboarding, inductions and enrolment activities.
    • Ensure learner documentation is completed accurately and submitted within required timescales.
    • Maintain learner files in accordance with funding and compliance requirements.
  • Tutor Support
    • Provide administrative support to tutors before, during and after training sessions.
    • Prepare classrooms, learner resources and training materials.
    • Print, distribute and organise learning resources and handouts.
    • Support tutors with classroom administration and learner engagement activities.
    • Assist with assessment paperwork and evidence collection.
  • Additional Responsibilities
    • Coordinate room bookings and training schedules where required.
    • Support the organisation of learner reviews, workshops and employer engagement activities.
  • Compliance and MIS Support
    • Support the MIS Lead with learner data collection and record maintenance.
    • Ensure attendance registers, enrolment forms and learner records are completed accurately.
    • Assist with data entry and document management.
    • Maintain confidentiality and comply with GDPR requirements.
    • Support internal audits, funding checks and quality assurance activities.
    • Assist in preparing documentation required for external audits and inspections.

Person Specification

Essential

  • Experience in an administrative, customer service or learner support role.
  • Good organisational and administrative skills.
  • Strong communication and interpersonal skills.
  • Ability to work effectively as part of a team.
  • Competent in Microsoft Office applications and digital systems.
  • Ability to maintain accurate records and learner data.
  • Understanding of confidentiality and data protection requirements.

Desirable

  • Experience working within further education, training or funded programmes.
  • Knowledge of Adult Skills Fund (ASF), AEB or GLA funded provision.
  • Knowledge of safeguarding and learner welfare processes.
  • Experience supporting tutors or training delivery.
  • Experience using learner management or MIS systems.
