Role Summary: Hiring a senior, hands-on Events & Sponsor Operations Manager to lead operational delivery across our flagship in-person event, a mid-sized in-person event, and a changing calendar of virtual and in-person events. You will also own sponsor service and campaign operations that sit around these events. Your primary focus is flawless event execution and proactive sponsor management.
- Core Responsibilities:
- Flagship and In-Person Event Operations: Own end-to-end logistics and operational delivery for ‘AntiCon’. Lead detailed operational planning, timelines, and delivery documentation. Act as the day-to-day operations lead across venue, AV, catering, staffing, suppliers, sponsors and delegates. Manage event-week and on-site delivery with calm real-time decision-making. Maintain risk logs and contingency plans.
- Sponsor Operations and Client Services: Serve as the main point of contact for sponsored and non-sponsored event campaigns. Proactively manage sponsor/client expectations with clear deliverables, timelines, and regular updates. Own internal campaign calendars and cross-team coordination. Produce and manage sponsor information packs, contracts and enquiries.
- Delivery of Other Events: Own logistics and delivery for approximately 15 additional events per year. Independently manage smaller events end-to-end. For virtual events, manage registration journeys, automated attendee communications, sponsor deliverables and live production support.
- Event Technology and Operations Stack: Operate and maintain event workflows in HubSpot and other event platforms. Maintain data hygiene and registration accuracy. Troubleshoot operational system issues.
- Coordination of Other Client Projects: Coordinate delivery of non-event client campaigns. Act as a client-facing delivery lead to manage expectations, timelines, and stakeholder communications.
- Supplier Management and Budget Delivery: Deliver events and campaigns within assigned budgets. Track costs vs plan, identify savings, and escalate forecast overruns early. Negotiate supplier costs and contracts.
What Success Looks Like: Events are delivered flawlessly, on time, and within budget. Sponsors experience seamless delivery across events and campaigns. Multiple concurrent events and campaigns are delivered without dropped details, missed deadlines, or budget surprises.
