POSITION: SALES AND RETAIL OPERATIONS COORDINATOR
DEPARTMENT: COMMERCIAL
LOCATION: LONDON OFFICE
PURPOSE OF THE ROLE
To provide comprehensive administrative, operational, and coordination support to the Commercial team and retail operations, ensuring seamless execution of sales strategies and an exceptional experience for our retail partners and Luxury Brand Ambassadors. This role is pivotal in maintaining efficient processes and facilitating key commercial activities.
MAIN RESPONSIBILITIES:
- Prepare daily, weekly, and monthly retail sales reports for management and the Retail Field Team.
- Produce weekly communications to Luxury Brand Ambassadors and Field Team (e.g., sales updates, key messages).
- Compile monthly Synergy presentation for HQ, including relevant retail elements.
- Cascade key messages from Head Office to POS team.
- Input Monthly Retail Sales Data into Power BI for Beauty Intelligence.
- Create and distribute store visit forms for Management/senior leadership visits.
- Maintain managers' organisational charts for in-store teams and Head Office.
- Manage the updating of the Headcount report.
- Support with store Agency tracker and budget alignment.
- Attend underpayment/discrepancy meetings and provide feedback.
- Liaise with Head Office departments to ensure store needs are fed back to the appropriate stakeholders and followed up effectively.
- Handle and resolve all store queries relating to Retail Systems (e.g., Tamigo, Infoware, LVMH Online).
- PO creation and management in a timely manner via SAP, tracking spend in-line with the Retail & Education budget.
- Partner with retail management on employee recruitment, providing a professional onboarding process for all new store-based employees.
- Ensure compliance with the training app, monitoring results and KPIs and following up where necessary.

- Strong observation, interpersonal, and communication skills, with a solution-focused approach and ability to adapt to diverse audiences.
- Relatable, confident, and influential across all levels of the organization.
- Experience in a similar administrative or coordination role, ideally within a commercial, retail, or training department.
- Excellent written and verbal communication skills.
- Exceptional organizational skills, with meticulous attention to detail and ability to manage multiple tasks efficiently.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) is essential.
- Proven experience with SAP or similar procurement/ERP systems.
- Proficiency in digital communication and collaboration tools (e.g., Zoom, Teams).
