We have a truly exciting opportunity for a highly organised, professional individual to join us as an Executive Personal Assistant. Within this unique role, you will provide support to both the Chief People Officer and Chief Legal Officer, while also supporting the wider People, Legal and Secretariat teams. This role is crucial in ensuring that business-critical tasks are delivered on time, by co-ordinating briefing materials, managing meetings and monitoring inboxes so that our CPO and CLO can focus on their strategic priorities. A key aspect of this role will be maintaining excellent working relationships across the business and within the Exec PA community. The role is offered on a part-time basis (28 hours per week, over 4 days), and a fixed term of 12 months. Hybrid working is offered, with a requirement of 2 days in the Bournemouth office per week.
Key Responsibilities
- Carrying out complex diary management activities, including booking meetings, phone calls and appointments, ensuring the smooth running of executive calendars and preventing conflicting schedules.
- Arranging and booking regular travel.
- Monitoring several inboxes, including your own, ensuring that responses and updates are sent in a timely and accurate manner.
- Providing administrative support by completing paperwork, submitting forms and carrying out ad-hoc tasks.
- Collating materials for Executive member meetings such as briefings, speeches and presentations, ensuring these contain accurate data.
- Attending meetings, recording feedback, minutes and actions, ensuring all attendees receive relevant information in a timely manner.
- Building and maintaining strong working relationships with senior management and their wider teams.
- Producing data analysis to assist with effective decision-making and strategic planning.
- Ensuring relevant processes are compliant with legal, technical and regulatory requirements.
- Assisting in the organisation of various leadership events, team days and executive meetings (to include booking venues and arranging light catering).
- Maintaining an oversight of cost centres and working with Finance to monitor and track cost performance.
- Liaising with the wider team of Personal Assistants across the business to provide support and ensure best practice.

- Be highly organised and self-motivated, with the ability to manage conflicting priorities in an effective, efficient manner.
- Possess strong communication skills, both written and verbal, with a keen eye for detail and accuracy, and excellent language skills.
- Competently use Microsoft programmes such as Office, Word and Excel, along with the ability to produce quality PowerPoint presentations.
- Be approachable, professional and empathetic, with a genuine interest in people and helping others.
- Be a natural problem-solver, with the ability to think laterally and be open to suggesting potential solutions.
- Have experience of working in a similar role within financial services or insurance.
