Glass Castle Foundation believes in the fundamental role of art and artists in society. We are a new philanthropic foundation committed to providing catalytic, early-stage and long-term support for the artists and audiences of the future. We are committed to creating the conditions for extraordinary artists to thrive and experiment freely, and to empowering the infrastructure needed to realise new work that challenges, inspires, and connects us all. We aim to do this through innovative grantmaking and partnerships, residencies, presentation spaces and research. The foundation is currently developing plans for presenting work at 25 Wapping Wall and new artist residency facilities situated in the South Downs National Park.
We are looking to hire an Executive Assistant to provide high-level administrative and operational support to the Chief Executive and senior leadership team, enabling the effective running of the foundation and the delivery of its mission. This role requires discretion, strong judgement, and the ability to manage multiple priorities in a fast-paced, purpose-driven environment.
Key Responsibilities
- Provide comprehensive executive support, including diary management, meeting coordination, travel arrangements, and correspondence.
- Act as a key point of contact between the executive office and internal and external stakeholders, handling matters with professionalism and confidentiality.
- Prepare agendas, briefing materials, presentations, and reports for board and senior leadership meetings.
- Take accurate minutes and follow up on actions arising from meetings.
- Support board governance processes, including scheduling meetings and maintaining records and documentation.
- Manage expenses, invoices, and basic administrative processes as required.
- Assist with project coordination and ad hoc initiatives across the foundation.
- Ensure efficient office systems, record-keeping, and information management including establishing a CRM system or similar for the management of relationships and workflow.
