The challenges you’ll help us tackle:
As Lunio grows, more work is happening across more locations, teams, and systems. Without clear operational ownership, essential tasks tend to fragment, slow down, or land on senior leaders by default. One of the key elements of this role is ensuring that People Operations remain calm and dependable as we scale. Joiners, leavers, payroll changes, and system updates need to be handled cleanly and consistently, without creating noise or rework. Another challenge is operational coordination at the centre of the business. Travel, events, office logistics, and CEO office administration all require reliable ownership so that leadership time is spent on decisions and direction, not chasing details. This role exists to reduce friction, protect the speed and execution for the next stage of our journey, and to keep Lunio’s People & Business Ops running smoothly behind the scenes.
What we’re looking for:
- You have experience in an operations, HR administration, or business support role within a fast paced or scaling organisation.
- You are also highly organised, reliable, and take pride in getting things done properly.
- You are comfortable coordinating across teams, systems, and stakeholders, and you have good attention to detail and follow through, even when juggling multiple priorities.
- You’ll understand the difference between execution and decision making, and are confident escalating when something requires judgment.
- You enjoy being the person who makes things work, rather than being front and centre.
How this role fits in:
You will work closely with the People Partner, who owns People judgment, performance, and experience, and with the Chief of Staff, who owns People strategy and operating model design. This role is designed so that People Partners and senior leaders can focus on high impact work, knowing the operational foundations are in safe hands.
What you’ll be responsible for:
- People Operations, BAU execution: You will own the administrative execution of the employee lifecycle, including joiner, mover, and leaver processes, preparing contracts and documentation, updating systems, and running checklists end to end. You will coordinate onboarding and offboarding logistics, including IT and equipment ordering, access setup, and day one and exit processes. You will maintain HR system accuracy and hygiene in tools such as Humaans, ensuring data is up to date and reporting ready. You will coordinate payroll inputs, benefits administration, and employee changes with Finance and external providers. You will act as a first point of contact for procedural People queries, routing anything requiring judgment or sensitive handling to the People Partner. You will provide administrative support for performance, pay, and promotion cycles, including scheduling, tracking submissions, and preparing materials.
- Business Operations and CEO office support: You will manage office operations across locations, liaising with providers, handling access, equipment, health and safety checks, and day to day facilities coordination. You will book and coordinate travel and accommodation for company wide events, leadership meetings, and offsites. You will support the coordination of internal events such as All Hands, Kick Off, and team development sessions, managing logistics, communications, and follow ups. You will provide logistical and administrative support to the CEO office and SLT, including coordination and planning cadence support.
- Systems and process support: You will help administer HR and operations tools, setting up workflows, templates, and basic automation. You will document processes clearly so that the organisation is less dependent on individual memory. You will spot recurring operational friction and feed this back to the Chief of Staff or People Partner to inform improvements.
