The predicted salary is between 28800 - 43200 £ per year.
This hybrid role provides high-level administrative support to two Product Senior Directors (50% of the role), while also offering administrative support to the Senior Executive Assistant of International (50% of the role). You will partner closely with global Executive Assistants, cross-functional teams, and senior leaders. The Executive Assistant ensures seamless operations, proactive support, and exceptional organization across a dynamic, fast-paced environment.
A day in the life:
- Coordinates the Executive’s calendar, exercising sound judgment and prioritization.
- Manages the booking of the President & Chief Commercial Officer's office when he is travelling.
- Schedules and organizes meetings, prepares agendas, books rooms, and arranges IT support and refreshments to ensure efficient meeting facilitation.
- Coordinates complex, multi-leg global travel, often requiring continuous adjustments and collaboration with global Executive Assistants.
- Reviews and oversees department expenses and employee expense claims for accuracy and policy adherence.
- Acts as a communications liaison with cross-functional partners, including Finance, Brand & Community, and other departments as needed.
- Responds to inquiries and directs them to the appropriate partners.
- Prepares briefing notes, meeting minutes, and documentation required for Executive meetings and business correspondence as requested.
- Delegates, tracks, and follows up on action items within the scope of responsibility.
- Supports space planning and operational needs for department growth.
- Organises team activities, off-sites, and events.
- Undertakes special projects as assigned by the Executive or Sr Executive Assistant.
- Provides vacation coverage and partnership support to the Sr Executive Assistant.
Skills & Experience:
- 2–5 years of administrative or executive support experience with increasing responsibility (1-3 years acceptable depending on background).
- Strong business acumen with the ability to exercise tact, discretion, and sound judgment.
- Demonstrated ability to maintain the highest level of confidentiality.
- Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
- Experience working within a publicly traded company.
- Exceptional organizational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.
