We’re looking for an ambitious, highly organised and commercially minded Business Operations Coordinator to join our growing team.
This is a varied, hands-on role working closely with our CEO, with responsibility across LP wholesale, our growing US business and our wine brand, La Femme est Magique.
Part operations, part account management and part business support, you'll juggle multiple priorities, from managing US logistics and wholesale accounts to supporting new launches and helping get new projects off the ground.
We're looking for someone proactive, commercially minded and highly organised who takes genuine ownership and makes sure things get done.
The role has significant scope to develop, with the opportunity to become a genuine right-hand to the CEO and take on increasing responsibility as the business grows.
Key Responsibilities
Business Operations:
- Take ownership of day-to-day operational processes across our Wholesale and US business segments.
- Monitor and manage US shipments and coordinate day-to-day logistics with our US fulfilment partner and UK warehouse.
- Process wholesale invoices and manage purchase orders through Xero.
- Book and manage Advanced Shipping Notices and other partner-specific delivery requirements.
- Manage wholesale order bookings across individual partner systems.
- Coordinate assembly and quality-control projects where required.
- Book and coordinate training courses, including pre-course administration and logistics.
- Monitor performance of our US operation and identify areas requiring attention.
- Work with the marketing team on campaigns and opportunities to support US growth.
- Identify opportunities to improve, simplify and streamline existing processes.
- Troubleshoot operational issues and take ownership of getting them resolved.
Wholesale & Account Management:
- Act as a key point of contact for LP wholesale accounts.
- Build strong, professional relationships with our wholesale partners.
- Manage billing communications and proactively follow up on outstanding balances.
- Prepare for and run Quarterly Business Reviews and range reviews with wholesale partners.
- Monitor account performance and identify opportunities for growth.
- Coordinate internally to ensure wholesale partners receive the information, stock and support they need.
- Represent the business professionally in meetings, calls and written communication.
La Femme est Magique:
- Support the growth of our wine business, La Femme est Magique.
- Research and identify prospective on-trade, retail and wholesale customers.
- Support outreach to prospective clients and manage follow-ups.
- Help coordinate orders, account administration and ongoing customer relationships.
- Support events, activations and other commercial opportunities where required.
CEO & Business Support:
Working directly with the CEO will be an important part of this role. You'll be trusted to take an idea, problem or action and help move it forward.
This may include:
- Supporting new product, market and business launches.
- Researching new opportunities, suppliers, partners or systems.
- Gathering and analysing information to support commercial decisions.
- Coordinating projects involving multiple team members or external partners.
- Identifying problems or opportunities before they need escalating.
- Taking ownership of ad-hoc business projects from initial brief through to completion.
As the role develops, there will be scope to take ownership of increasingly significant projects and areas of the business.
About You
We're looking for someone with solid experience in operations, account management, project coordination or commercial support who is ready for greater responsibility, variety and autonomy.
You'll be:
- Exceptionally organised and able to juggle multiple priorities.
- Proactive, resourceful and solutions-focused. You’re comfortable figuring things out rather than waiting to be told what to do.
- Someone with a strong work ethic and genuine sense of ownership; if you say you'll do something, you make sure it gets done.
- Commercially minded, with the confidence to work with major accounts, suppliers and external partners.
- An excellent written and verbal communicator with strong attention to detail.
- Comfortable working at pace, adapting to changing priorities and solving problems.
- Confident using multiple systems, including Google Workspace.
- Ambitious and keen for your responsibilities to grow as the business grows.
