The purpose of this role is to provide strong commercial and administrative support to enable effective planning, coordination, and delivery of projects. The Commercial Support Coordinator will ensure processes and systems are implemented efficiently, supporting compliance, data accuracy, and timely project delivery.
This role is pivotal in ensuring that all commercial processes and procedures across the Lucy Developments business are fit for purpose, compliant, accurate, and fully adopted. Working closely with the Senior Management Team and Commercial department, the Commercial Support Coordinator will provide essential support in managing commercial activities and facilitating improvements within the team. This includes advising on compliance requirements and supporting competence training where necessary.
The ideal candidate will have excellent organisational skills, strong commercial awareness, and the ability to work collaboratively with the Senior Management team and wider teams to help drive the business forward.
This role reports to the Operations Manager, supporting the commercial elements of the business, including any associated systems. Based at Group headquarters in Oxford, the role is flexible in that agile working can be accommodated although it’s expected that the candidate will commute to the office at least 3 days a week, and visit development sites as required. This role is a hybrid position, predominantly based at our head office in Oxford but will also require some visits to site from time to time.
Key Responsibilities- Assisting Directors with legal and commercial matters, including conveyancing and documentation.
- Supporting the setup and administration of management companies for new developments.
- Ensuring data accuracy and compliance across all commercial processes.
- Coordinating with internal teams to maintain smooth operations and adherence to company standards.
- Managing and maintaining business systems to ensure accurate data input, reporting, and process efficiency across constructions and commercial operations.
- Provide day-to-day guidance and support to the Construction Administrator and Construction Coordinator, ensuring clarity of tasks and priorities.
- Set and review performance and development objectives for direct reports to maintain high standards and continuous improvement.
- Promote operational efficiency and transparency through accurate reporting and clear communication.
- Implement new systems and processes as required, ensuring effective training and adoption.
- Drive adoption of commercial processes and systems across all projects to ensure compliance and consistency.
- Assist with contract administration, document control, and maintaining accurate records for commercial activities.
- Monitor data accuracy and transparency across all commercial systems.
- Provide support for land purchases, property sales, and management company setup, ensuring legal and regulatory compliance.
- Maintain contract databases and liaise with Lucy Group Legal on conveyancing and compliance matters.
- Ensure adherence to Consumer Code for Homebuilders, NHQB requirements, GDPR, and other relevant legislation.
- Manage purchase orders and valuations within the management system, ensuring accuracy and timely processing.
- Liaise with the finance team to facilitate invoice payments and resolve discrepancies.
- Receipt goods and services against purchase orders to maintain accurate records.
- Support the management and processing of payments to suppliers and contractors.
- Assist with budgeting, forecasting, and cost analysis to support financial planning.
- Undertake any other ad hoc duties as required to support business needs.
- Educated to A-Level standard or equivalent.
- Experience in a busy office environment.
- Experience in a customer focused environment.
- Project administration experience.
- Previous line management responsibilities.
- Degree or professional qualification in Business Administration, or related field.
- Experience in construction and/or property management.
- Previous experience in a commercial role.
- Knowledge of construction projects and contract management.
- Must have a positive and confident approach to tasks.
- Must be a proactive communicator with excellent interpersonal and customer service skills.
- Be confident and strong willed and don’t accept second best.
- Excellent attention to detail.
