The Role: We are seeking a personal assistant to support the founder and her growing team in the day-to-day running of this fast-paced business. This is a high ownership role for a confident, assertive self-starter. You will gain exposure to international business operations, commercial strategy, global travel, and events.
The Candidate: We are looking for someone early in their assistant career who is eager to learn, enjoys taking ownership and thrives in a fast-paced environment. You are commercially aware and highly organised. You will have a strong academic background and be able to listen, understand the material and think analytically and methodically, especially when it comes to problem-solving and contributing to the wider brand agenda. You have worked with a founder before and understand the nuances of supporting a person in this role. If you have experience with a creative founder, then that’s a bonus.
You are accustomed to working quickly and efficiently, so you can effectively support the founder (who is direct in her feedback and communication style) and to keep up with the pace and growth of the business. With several projects being devised and executed at any one time, the successful candidate must feel comfortable running multiple information streams at once. Priorities change quickly, balls get dropped, and you need to be there to catch them. Whilst you will learn about the industry and business on the job, you need to come in with some experience of executive support and management.
You must have outstanding written and verbal communication skills; be confident in drafting briefs, emails, reports, and presentations. You must be highly proficient in macOS, Microsoft Office Suite, and Photoshop. You will have impeccable organisational skills, plus meticulous attention to detail and time management skills. You remain calm under pressure.
This role is not a stepping stone; the team needs consistency and someone who is content to grow within the role rather than stepping into other departments.
Your role will include but not be limited to the following:
- Founder Assistance: Support the founder in all aspects of her day-to-day:
- Support the founder with creative organisation, including product samples, launch timelines, and brand events
- Oversee inbox management, prioritising communications and responding where appropriate
- Managing her calendar and schedule
- Preparation for meetings
- Organising travel & logistics
- Administration for new collection development design, including filing and knowledge sharing
- Handling highly sensitive knowledge and information
- Prepare, format, and proofread documents, presentations, and correspondence
- Team and office management: Oversee the day-to-day running of a busy office
- Procuring stationery, packaging and brand materials
- Recording and circulating meeting minutes
- Booking couriers, facilitating press loans and London-based jewellery repairs
- Liaising with IT support
- HR administration, including annual leave and sickness absence; recruitment, new employee onboarding
- Own office systems, filing and process, making improvements as required
- Support in maintaining the operations timeline around certificates and subscriptions, ensuring they do not lapse
- Booking travel, hotels and communicating plans to the wider team in keeping with agreed budgets
- Processing invoices and expense claims with strong financial discipline
- Events & Projects: Coordinating international trade fairs, exhibitions and company events
- Supporting in executing brand events & projects in line with the company calendar such as in-store activations and comms events
- Track timelines against critical path to ensure smooth execution from planning through delivery
- Taking accurate meeting minutes and track actions to ensure follow-through and accountability
- Support documentation around the execution of the company's critical path
Package: 3-month probation period with 1 month's notice. Salary negotiable depending on experience. 25 days paid holiday plus Bank Holidays.
