We are seeking a highly organised and proactive Office Manager to ensure the smooth day‑to‑day running of our London office. Working closely with the EA & People Manager, this role is responsible for office operations, facilities coordination, IT and hardware management, onboarding and off‑boarding logistics, and regular team events. This is a hands‑on role that plays a key part in delivering a well‑run, professional and engaging workplace experience as well as ensuring we’re embedding our culture at every touchpoint for our team. We operate a hybrid working environment. While this role is generally based in the office (typically four days per week), we’re committed to supporting flexible working and will accommodate home working where needed.
Key Responsibilities
- Office & Facilities Management
- Oversee the day‑to‑day management of the office workspaces, office kitchen and meeting rooms.
- Manage and maintain all office storage areas, ensuring they are organised and clearly allocated across teams.
- Ensure office spaces remain clean, functional and well‑presented.
- Manage cleaning providers and ensure they are maintaining high standards.
- Manage any building maintenance for the kitchen, office and meeting rooms.
- Manage staff access cards.
- Oversee stationery and office sundries ordering including milk, tea, coffee and kitchen supply ordering, implementing a clear stock control process.
- Distribute incoming and outgoing post.
- Ensure meeting rooms are tidy, set up correctly and fully operational.
- Manage the office desk booking system.
- IT & Equipment Management
- Manage relationships with external IT, WIFI and Mobile providers and act as first point of contact for any issues.
- Manage office hardware including laptops, mobiles and accessories.
- Coordinate hardware setup and reset for new starters and leavers.
- Oversee printer management and troubleshooting.
- Coordinate system access including Email & Outlook setup and SharePoint access.
- Onboarding & Offboarding
- Work closely with the EA & People Manager to ensure smooth onboarding and offboarding processes.
- Prepare hardware and access cards for new starters.
- Coordinate new starter goodies and workspace readiness.
- Manage leaver process, including hardware return and system access removal.
- Maintain clear documentation and checklists to ensure consistency.
- Internal Events & Team Support
- Manage and coordinate monthly Bring It Breakfasts and Speaker Sessions.
- Support the EA & People Manager in planning and delivering company team days.
- Contribute to a positive and engaging office culture through well‑executed internal events.
- Ownership and manage of company volunteering relationship.
Candidate Profile
If you’ve got previous experience in office management then great but this isn’t essential; highly organised with strong attention to detail. Proactive and solutions focused. Comfortable building relationships with external suppliers. Ability to work independently and prioritise effectively. Personable, approachable, and service‑oriented. Knowledge of using AI or openness to learn to aid optimisation in the role (ChatGPT).
