Lucas Kennedy is an official Workday Services Partner, delivering specialist Staffing and Consulting services to clients across the UK and Europe. Our Consulting team leads on Workday advisory, deployment, optimisation and managed services, while our Staffing team connects clients with the Workday talent that makes those projects work.
As our Operations Administrator, you'll sit right at the centre of how Lucas Kennedy runs. Your responsibilities will include:
- Supporting the Staffing team through the full candidate and contractor lifecycle, from registration and compliance through to placement, contracts, onboarding and assignment extensions.
- Keeping candidate and client records sharp, with the CRM fully updated with activity, documentation and assignment information.
- Coordinating contractor documentation, including contracts, references, right to work evidence, background checks and insurance.
- Supporting the Consulting team with day-to-day administration and coordination of client engagements, projects and managed services.
- Building and maintaining live consultant utilisation trackers, monitoring billable hours, bench time and engagement allocation across the whole consulting bench.
- Producing regular utilisation, timesheet compliance and margin reports for the leadership team, turning raw resourcing data into clear, actionable insight.
- Chasing outstanding timesheets and closing data gaps fast, ensuring the numbers leadership works from are always accurate and current.
- Supporting forecasting of consultant availability against pipeline demand, helping leadership plan resourcing ahead of client need.
- Maintaining resource schedules, project records and engagement documentation, and driving continuous improvement of Consulting operational processes.
- Coordinating consultant onboarding and offboarding, including access requests, compliance documents, client requirements and internal handovers.
- Assisting HR with onboarding new employees, consultants and contractors, including offer letters, contracts, background checks and induction coordination.
- Keeping staff records accurate and supporting the administration of appraisals, probation reviews, training and development activity.
- Providing occasional IT and facilities support.
Office Operations:
- Keeping our new Fenchurch Street office clean, stocked and safe.
- Ordering and managing office supplies and refreshments.
- Managing incoming calls, emails and office enquiries, and monitoring shared inboxes.
- Preparing and formatting business documents, reports, presentations, proposals and statements of work for client-facing use.
- Completing background checks and maintaining accurate compliance trackers across Staffing and Consulting activity.
Requirements:
- 3+ years experience in a professional services, banking, insurance or legal environment.
- Proven experience in business administration, operations, recruitment support or professional services support.
- Comfortable with data and numbers, confident building and maintaining trackers, dashboards and reports.
- Proficient in Microsoft Office, especially Excel.
- Genuine interest in building a career in business operations, staffing, consulting or professional services.
