About the Role
We have an exciting opportunity for an experienced Event Manager with 5+ years of management level work experience within events to work closely with the Tournament Director to deliver the Lexus Nottingham Open consisting of WTA250 and ATP Challenger events.
Responsibilities
- Ensure all tournament operational requirements are delivered to a high standard, according to WTA & ATP regulations and within set timeframes, by employing event management best practice, to include areas such as temporary structures, catering, security, health & safety, technology, venue services, cleaning, waste management, retailers, hotels and spectator facilities.
- Manage the design of the tournament site including all temporary overlay, taking into account active crowd flow, emergency evacuation procedures, capacities and operational requirements.
- Line manage the Event Coordinator for the Lexus Nottingham Open and develop a workforce plan to ensure suitable resourcing of all event operational areas in line with the principles of the SGSA’s Green Guide.
- Manage the recruitment of temporary personnel, numbering approximately 15‑20, and the necessary training and line management duties; provide the required guidance and event details for the successful implementation of larger workforce groups, such as officials, ball crew, stewards, totaling approximately 250, complying with staff welfare policies.
- Responsible for managing designated budgets for the specific operational projects outlined above, ensuring that costs are challenged and negotiated with suppliers to deliver best value for money; manage regular cost control reviews, ensuring that any unexpected expenses are flagged in advance and the impact of any overspend is reduced wherever possible.
- Liaise with the Broadcast Manager and Tournament Media Manager to ensure that the delivery of the broadcast operations and management of onsite media is operating as planned and manage any issues as required within the framework of the Crisis Communications Plan.
- Work closely with the local City Council to ensure that the site is presentable and in an appropriate condition, meeting the requirements as set out in the Event Management Plan, so that it is safe and secure to be opened to the general public each day; pre‑empt and troubleshoot any issues that arise onsite and deal with last minute requests from various stakeholders.
- Oversee the daily operations of each live event day, following the policies and procedures outlined in the Event Management Plan, making sure that issues are reported as required, following the flow of communication in the incident response plan and overseeing the health, safety and wellbeing of all persons working or attending the tournament (up to 4,000 people).
- Manage the transport provision for the event, ensuring suitable and sufficient vehicles are provided and delivered to fulfil event requirements and comply with WTA / ATP rules, while making arrangements for the necessary insurance cover.
Qualifications
5+ years of event management experience at a management level, including experience planning and delivering WTA & ATP events; strong knowledge of WTA & ATP regulations and standards; proven budget management and cost control skills; experience managing large temporary workforce groups; excellent communication, stakeholder management and problem‑solving abilities.
Interview Timeline
Please note, the application window for this role closes at midnight on Sunday 26th October. First stage interviews will take place in‑person at the National Tennis Centre on 29th, 30th, and 31st October. Final interviews will take place via Microsoft Teams on 3rd and 4th November.
