This role is part of the Event Planning and Delivery team responsible for delivering the LTA’s program of Major Events. The Event Coordinator will play a vital role in the planning and delivery of the 2026 Grass Court Season and may support the Events team at other designated tournaments within the international calendar, as required.

About the Role

We are currently recruiting to support the planning and delivery of the HSBC Championships at the Queen’s Club, London. During the tournament period this role will require on‑site work at the venue for a continuous period of up to 11 weeks.

Key Accountabilities

  • Assist the Events team with pre‑tournament administration, operations and logistics to ensure the HSBC Championships is delivered on time, within budget and in line with sport specific technical requirements and specifications.
  • Support the preparation of event specific documentation, including the Event Management Plan and briefing notes.
  • Take responsibility for operational projects such as ordering IT equipment, mobiles, laptops, printers, branded items, Player Lounge Facilities and site wide floral requirements.
  • Attend ad hoc site visits to support planning.
  • Use initiative to find solutions and integrate into overall team planning process.
  • Communicate effectively with contractors and suppliers to scope and procure event logistics and operations, achieving cost efficiencies through effective negotiations.
  • Collaborate with colleagues from the wider Major Events department to adopt consistent ways of working and support other teams with projects if required.
  • Create positive working relationships with LTA internal departments, including Digital, Brand Marketing, Commercial and regional teams.
  • Lead procurement of all ad hoc requirements, including stationery, player gifts and equipment.
  • Support the Event Manager with training and guidance for temporary event personnel.
  • Assist the Event Manager in managing designated budgets for the operational projects, ensuring costs are challenged and negotiated with suppliers to deliver best value for money.
  • Flag any unexpected expenses in advance and reduce impact through practical problem solving.
  • During the tournament period act as the Event Office Supervisor, planning and setting up the office, managing Event runners and being the main point of contact in the office.

General Requirements

  • Liaise with internal and external stakeholders as required in the delivery of this role.
  • Provide outstanding customer service to tennis stakeholders and visitors, responding quickly with true personal ownership and responsibility in a world class working environment.
  • Be an ambassador for the vision of the LTA both internally and externally, communicating and promoting the vision and direction of the LTA with passion.
  • Build, manage and maintain strong inter‑departmental relationships and communication within the organisation and work in partnership with other team members.
  • Work collaboratively with colleagues from the wider Major Events department to adopt consistent ways of working and support other teams with projects if required.
  • Support the Major Events department at other designated tournaments within the international calendar, as required and as time allows.
  • Use initiative to make suggestions to improve the working situation within own area of work and the LTA as a whole.
