About the Role
The Executive Support role provides support to our leaders and teams to enable them to be effective in their day-to-day activities and responsibilities. Services include diary management and meeting coordination, fielding communications (phone calls and emails), arranging business travel, maintaining records and files, and providing support on tools, systems and procedures. The role may involve working with multiple leaders and teams in a hybrid environment.
Key Responsibilities
- Onsite and remote support for up to 3 Group Leaders across the business in a hybrid environment (usually 3 days per week in the office, or as required).
- Standard and complex diary management.
- Collation of briefing papers, reports and presentations; preparation of presentations and papers, including translating content from senior leaders into accurate, visually impactful materials.
- Provision of administrative and organizational support; handling incoming communications and correspondence on behalf of leaders.
- Build and maintain strong working relationships internally and with clients and other key contacts at all levels.
- Manage expense processes, including raising claims, creating POs, setting up suppliers, and acting as a delegate on the expense system; support procurement processes as needed.
- Assist with coordination of Townhalls, Roadshows and offsite events; greet visitors at all levels of seniority.
- Arrange complex, multi-sector travel itineraries and accommodation in collaboration with the in-house travel team, ensuring compliance with internal policies; ensure appropriate security measures for travel in high-risk areas.
- Maintain compliance records for Executives (e.g., gifts/entertainment reporting) as required.
- Provide administrative and organizational support to Executives and assist with internal and external communications.
Candidate Background
- Experience of supporting a Senior Executive within Finance is highly desirable.
- Understanding of the cadence and responsibilities associated with a FTSE 50-listed company.
- Experience in a similar role within a large-scale operations department/function is essential.
- Discretion and trust due to the confidential nature of related activities and programmes.
- Degree educated preferred.
- Experience in a financial services company or other fast-moving environment is advantageous.
- Polished and professional with strong communication and organizational skills.
