Key Responsibilities
\\n\\n
Diary & Inbox Management
\\n\\n
- \\n\\t
- Managing complex diaries for senior stakeholders
- Scheduling meetings and ensuring all attendees are appropriately briefed
- Monitoring and managing multiple inboxes, ensuring timely follow-up on all correspondence
- Creating meeting minutes and preparing materials for upcoming sessions
\\n\\t
\\n\\t
\\n\\t
\\n
\\n\\n
Events & Team Coordination
\\n\\n
- \\n\\t
- Organising team meetings, away days, and social events for teams of up to 45 people
- Arranging logistics including venues, presentations, catering, and entertainment
- Managing team celebrations including birthdays and work anniversaries
- Supporting the coordination of larger conferences and events

\\n\\t
\\n\\t
\\n
\\n\\n
Onboarding & HR Support
\\n\\n
- \\n\\t
- Managing the new joiner and leaver process
- Coordinating IT equipment and onboarding sessions
- Arranging appraisal meetings
- Maintaining employee records and distribution lists
\\n\\t
\\n\\t
\\n\\t
\\n
\\n\\n
IT & Systems Management
\\n\\n
- \\n\\t
- Managing central SharePoint sites for marketing and operations
- Acting as the London point of contact for IT queries
- Conducting Salesforce audits to ensure system compliance
- Keeping email distribution lists current
\\n\\t
\\n\\t
\\n\\t
\\n
\\n\\n
General Administration
\\n\\n
- \\n\\t
- Processing expenses and booking travel
- Supporting wider team with CV formatting and administration
- Booking client and candidate meetings
- Managing contract administration spreadsheets
- Conducting feedback surveys
\\n\\t
\\n\\t
\\n\\t
\\n\\t
\\n
\\n\\n
About You
\\n\\n
We're looking for a motivated individual with:
\\n\\n
- \\n\\t
- Strong MS Office skills – confident across Word, Excel, PowerPoint, and Outlook
- Excellent interpersonal skills – ability to build relationships at all levels
- Discretion and confidentiality – you'll have access to sensitive information
- Can-do attitude – team-oriented with a positive approach
- Strong communication skills – both written and verbal
- IT literate and AI curious – comfortable with technology and eager to learn
- OMBS or Quest qualifications would be advantageous
