A leading privately owned UK property and urban regeneration business is seeking a highly organised, proactive Personal Assistant to join a well-established Business Support Group. This is a varied and pivotal role within a fast-paced, ambitious organisation delivering some of the UK's most exciting large-scale regeneration schemes across residential, workspace, retail, leisure and education.

You'll sit within a team of 10 PAs and EAs, supporting a busy portfolio of senior stakeholders across two key business areas. Primarily, you will provide comprehensive support to a Director-level leader and two members of their team within Asset Management - a fast-moving, high-demand brief where strong diary management and polished presentation skills are essential. You will also support a Development Director and one of their team members, with a focus on diary management.

This is not a role for someone who wants a quiet inbox. You'll need to be trusted, discreet, detail-orientated and comfortable operating with autonomy in a dynamic environment where priorities shift quickly.

Key Responsibilities

  • Managing multiple complex, frequently changing diaries across internal and external meetings
  • Anticipating and proactively resolving scheduling conflicts
  • Coordinating meetings including rooms, catering, travel and agendas
  • Attending meetings to take notes and track agreed actions
  • Arranging site visits, preparing itineraries and organising travel and accommodation
  • Researching and booking venues for lunches, dinners and events; occasional out-of-hours support required

Communication & Stakeholder Management

  • Acting as a key point of contact for internal and external stakeholders
  • Drafting, proofreading and preparing high-quality correspondence, presentations and documents
  • Building strong professional relationships across the business support team

Operational & Administrative Support

  • Processing invoices, purchase orders and monthly expense reports
  • Maintaining CRM databases and project directories
  • General admin including printing, binding and tracker management
  • Collating information for board reports and chasing stakeholder inputs
  • Providing cover for other PAs and reception as needed

About You

  • Proven PA experience in a fast-paced environment; property or real estate sector experience is an advantage but not essential
  • Strong diary management skills are a must - you'll be juggling multiple demanding calendars simultaneously
  • Demonstrable experience producing and preparing presentations to a high standard
  • Highly organised with the ability to prioritise under pressure and meet tight deadlines
  • Proficient in Microsoft Office including Teams, SharePoint, OneDrive and Copilot
  • Strong written and verbal communication skills with a professional, confident manner
  • High degree of discretion and confidentiality
  • Proactive, solutions-focused and calm under pressure
  • Flexible team player with a hands-on, can-do attitude
  • Comfortable building relationships at all levels and representing the business professionally
