A leading global organisation within the digital entertainment and technology space is seeking an experienced and highly organised Executive Assistant to join their Talent team on a 3-month fixed-term contract. This is an exciting opportunity to support senior leadership within a fast-paced, international business known for its innovation, scale, and dynamic culture.
The Role
Reporting into the Chief of Staff, the Executive Assistant will provide high-level, proactive support to two Directors within the Senior Talent team. This role is pivotal in ensuring seamless day-to-day operations, requiring exceptional organisational skills, discretion, and the ability to manage competing priorities across multiple time zones.
Key Responsibilities
- Executive Support & Diary Management
- Manage complex and ever-changing calendars across multiple time zones
- Coordinate internal and external meetings, including senior stakeholder engagement
- Arrange international travel, including flights, accommodation, visas, and itineraries
- Provide daily and weekly schedule briefings and ensure leaders are well-prepared
- Coordination & Communication
- Act as a key point of contact for senior stakeholders across the business
- Process expenses and support procurement and invoicing activities
- Assist with presentations, reports, and project documentation
- Build strong working relationships with stakeholders globally
- Administrative & Project Support
- Prepare meeting materials, take minutes, and track follow-up actions
- Maintain and update internal systems and talent databases
- Coordinate senior-level interview processes, liaising with candidates and search partners
- Handle highly confidential information with discretion and professionalism
About You
- Proven experience supporting senior executives or directors in a fast-paced environment
- Exceptional organisational skills with the ability to manage multiple priorities
- Strong communication skills and confidence working with stakeholders at all levels
- High level of integrity and discretion when handling sensitive information
- Proactive, adaptable, and solutions-focused approach
- Calm under pressure with a flexible, team-oriented mindset
- Strong MS Office skills and ability to quickly learn new systems
