An established, globally recognised organisation within the commercial property sector is seeking an organised and proactive Personal Assistant to support one of their senior Partners. This is a great opportunity for an experienced PA who thrives in a fast-paced, professional environment and enjoys being at the centre of a busy, collaborative team. The successful candidate will provide seamless administrative support to the senior partner and contribute to the effective running of the wider team.
Key Responsibilities
- Diary & Meeting Management: Proactively manage complex diaries for senior leaders. Coordinate internal and external meetings and presentations. Arrange meeting rooms and ensure all visitor details are communicated in advance. Organise client and agent lunches, dinners, seminars, and events.
- Operational Support: Format and prepare client-facing documents, presentations, and correspondence. Provide administrative support across multiple teams as required. Coordinate travel arrangements for team members. Manage inboxes, including oversight of additional inboxes during periods of leave. Maintain electronic filing and project documentation. Prepare agendas, support pitch document production, and assist with induction of new starters (IT, phones, desk setup, etc.). Support general office processes including scanning, photocopying, binding, and troubleshooting basic IT issues. Circulate regular team communications.
- Financial Administration: Fee forecasting and invoicing. Monitor project expenses and ensure they are captured accurately. Draft purchase orders and support monthly fee reconciliation. Submit expenses on behalf of the team.
Skills & Experience
- Proven experience as a PA or Team Assistant.
- Experience in financial administration, specifically invoicing.
- Strong proficiency across MS Office (Word, PowerPoint, Excel, Outlook, Teams).
- Ability to manage multiple priorities and deadlines with ease.
- Excellent attention to detail and accuracy.
- Proven experience supporting senior stakeholders in a fast-paced environment.
