Title: Team Administrator – LLR, RTB and KWS

Contract Type: Permanent Full Time, 35 hours

Salary: £26,775 per annum to £29,280 per annum (Londonweighted salary) dependant on experience plus ECU allowance (if policyrequirements are met)

Grade: 3

Reporting Office: London, Stratford

Working Locations: Stratford, Wexham Hopital Slough, King George Hospital Redbridge and LLRPatch across London

Persona: Agile Worker: 20% - 40% of contractual hours tobe worked from reporting office/working location (hybrid working)

Working Pattern: Monday to Friday

The Team Administrator will provide operational andadministrative support across our London Living Rent (LLR), Right to Buy (RtB)and Key Worker Schemes (KWS), acting as a key point of contact for customers,colleagues and stakeholders. The role plays a vital part in supportingcustomers through their housing journey, maintaining accurate records andsystems, and ensuring the smooth delivery of team operations.The successful candidate will also support internal teamsand management by helping to maintain a compliant, well-managed and low-riskportfolio. This includes ensuring records are accurate and up to date,supporting governance and audit requirements, monitoring key processes andassisting the team in meeting regulatory, policy and service standards.This is an excellent opportunity for an organised andproactive individual looking to develop their career within housing, customeroperations or business support, while making a real difference to the lives ofour residents and customers

Your impact in the role:

Team Contribution & Customer Service

  • Support the achievement ofteam objectives and contribute to delivering an excellent customer experiencein line with L&Q's values.
  • Act as a key point ofcontact for customers, residents and stakeholders, responding to enquiries andresolving issues wherever possible.
  • Build positive andeffective relationships with internal and external stakeholders.
  • Support operational teamsand managers in delivering a compliant, customer-focused and well-managedportfolio across London Living Rent, Right to Buy and Key Worker Schemes.
  • Contribute to teamperformance and service improvements through a proactive and collaborativeapproach

Administrative Support & Business Processes

  • Coordinatea range of operational and administrative activities across London LivingRent, Right to Buy and Key Worker Schemes.
  • Accuratelymaintain customer, tenancy and property records across relevant systems.
  • Supportcritical business processes that contribute to effective portfoliomanagement and service delivery.
  • Supportbusiness processes including invoice processing, purchase orders andgeneral team administration.
  • Assistwith reporting, data management and monitoring service performance,helping managers identify trends, risks and actions.
  • Attendsite offices and operational locations at least once per week, withadditional travel required to support business needs.

Collaboration with Stakeholders

  • Workclosely with colleagues, customers, contractors and external partners tosupport the effective delivery of services.
  • Developstrong working relationships across Immediate Market Tenures and widerL&Q teams.
  • Supportmanagers and operational colleagues by providing accurate information andadministrative oversight to inform decision making.
  • Ensureenquiries are managed efficiently and escalated appropriately wherenecessary.

Compliance & Governance

  • Support the team inmaintaining a compliant and low-risk portfolio through effective administrationand accurate record management.
  • Ensure activities arecompleted in accordance with L&Q policies, procedures and regulatoryrequirements.
  • Support governance, auditand compliance activities through accurate record keeping and administration.
  • Monitor key actions,compliance requirements and deadlines, escalating concerns where appropriate.
  • Identify and escalaterisks, issues or service concerns that could impact customers, service deliveryor portfolio performance

Record Keeping & Systems Management

  • Maintainaccurate and up-to-date records across relevant business systems.
  • Ensuredata integrity and support the delivery of accurate management informationand reporting.
  • Monitordata quality and support reporting requirements.
  • Ensurecustomer and operational information is managed in line with dataprotection requirements and organisational standards.
  • Supportaudit readiness by ensuring records, documentation and systems remainaccurate, accessible and compliant.

What you'll bring:

  • Experience working within abusy administrative, operational or customer service environment.
  • Excellent organisationalskills with the ability to manage multiple priorities and deadlines.
  • Strong attention to detailand commitment to maintaining accurate records and data.
  • Strong communication skillsand confidence working with colleagues, customers and stakeholders at alllevels.
  • Ability to identify issues,monitor actions and support the effective management of operational risk.Experience using systemsand data to support service delivery, reporting and decision-making.
  • Strong working knowledge ofMicrosoft Office, including Outlook, Word, Excel and Teams.
  • A proactive approach toproblem solving and continuous improvement.
  • A commitment to deliveringexcellent customer service and supporting positive customer outcomes

Additional Requirements:

  • A flexible and proactiveapproach to work, with the ability to adapt to changing priorities and businessneeds.
  • Ability to travel toL&Q site offices and operational locations at least once per week, withadditional travel required where business needs dictate. A strong commitment todelivering excellent customer service and positive customer outcomes.
  • Confidence handlingsensitive and confidential information with discretion and professionalism.
  • Ability to identify,escalate and support the resolution of operational, compliance and customerrisks.
  • Commitment to maintainingaccurate records and supporting audit, governance and regulatory requirements.
  • Willingness to continuouslydevelop skills, knowledge and expertise within housing operations andaffordable housing products.
  • A collaborative approach,with the ability to build strong working relationships across teams and withexternal stakeholders.
  • Experience within housing,property, customer operations or a regulated environment would be advantageousbut is not essential.
  • A willingness to takeownership of tasks and see them through to completion, ensuring deadlines,compliance requirements and service standards are achieved.
