We are seeking a highly organised, proactive, and adaptable Project Administrator to play a pivotal role in supporting the successful delivery of projects within a fast-paced and creative environment. This is a dynamic and varied position that sits at the centre of project operations, providing essential administrative, operational, and coordination support to a multidisciplinary team of Project Managers, Designers, and wider business stakeholders.

The successful candidate will be responsible for ensuring the smooth day-to-day running of projects by:

  • Maintaining accurate project documentation, compliance, schedules, risk registers, and project files.
  • Preparing project reports, status updates, meeting minutes, and presentations.
  • Coordinating meetings, workshops, design reviews, and client presentations.
  • Managing diaries, meeting schedules, room bookings, and virtual meeting arrangements.
  • Supporting resource planning and allocation activities across project teams.
  • Supporting client communication processes and maintaining contact records.
  • Preparing client-facing documents, reports, and presentation materials.
  • Coordinating stakeholder meetings and distributing relevant project information.
  • Building positive working relationships with internal and external stakeholders.
  • Maintaining accurate financial records and project documentation.
  • Maintaining project systems and databases.
  • Updating project trackers, dashboards, and reporting tools.
