Our client, a boutique client services firm with a friendly and sociable team based at their West End office, is looking for an established Personal Assistant and Office Manager to support the CEO and COO, whilst taking ownership of key administrative functions across the business. This is a pivotal role in ensuring smooth office operations, while directly assisting the Executives to manage their time, projects and business relationships effectively.
The ideal candidate will have solid experience of supporting senior Executives, ideally in a SME client driven business environment, and can demonstrate broad experience across a wide range of duties within their previous roles such as office management, marketing and event management. This role would suit someone who thrives working in an SME and who is proactive, organised, competent in multitasking and brings a strong work ethic.
- Provide high level administrative support to the COO and CEO, managing complex calendars, scheduling multi-party meetings etc.
- Prepare detailed itineraries for international and domestic travel including flights, accommodation and transportation.
- Draft, proofread and edit reports, presentations and correspondence for internal/external stakeholders.
- Liaison of key clients, stakeholders, and business partners representing the CEO and COO in a professional and approachable manner.
- Establish, implement and refine office procedures, processes and workflows for optimum efficiency.
- Manage inventory and office supplies ensuring the office is stocked with necessary materials and equipment.
- Liaise with building management and external vendors for facilities management.
- Take ownership of organising and coordinating company events, offsites and team building activities.
- Updating CRM and generating reports.
We will be shortlisting candidates based on recent and relevant transferable experience. Salary will be based on experience.
