An international investments firm is seeking a highly organised and proactive Executive Assistant to support the senior stakeholders in the secretariat team and IR team. This role will involve managing complex calendars, coordinating Board and Committee meetings, supporting investor relations activities and roadshows, arranging travel, preparing presentations and meeting materials, and acting as a key liaison between senior stakeholders, shareholders, and Non-Executive Directors.
The successful candidate will have previous solid experience supporting senior executives within a fast-paced corporate environment, strong organisational and communication skills, and the ability to handle confidential information with discretion. Experience with Board administration and investor relations support is advantageous. The ideal candidate will have worked for a listed company and a good understanding of a PLC.
Key Responsibilities- Provide day-to-day administrative and operational support to the Secretariat and Investor Relations teams.
- Manage complex calendars, meetings, appointments, and international travel arrangements.
- Act as a liaison between internal teams, shareholders, investors, Board members, and external stakeholders.
- Maintain and update investor relations databases, contact records, and meeting notes.
- Coordinate Board and Committee meetings, including agenda preparation, collation of papers, and timely distribution of materials.
- Manage the upload and organisation of Board documentation through Boardvantage.
- Support Board meetings, shareholder meetings, and related governance activities.
- Coordinate investor roadshows and assist with logistics and scheduling.
- Work closely with Executive Assistants and wider support teams on Board and investor-related arrangements.
- Serve as a key point of contact for Non-Executive Directors, including travel coordination and expense management.
