Our client, a friendly and busy boutique finance firm, is looking for a flexible and diligent Receptionist/Office Coordinator. This role requires someone who presents themselves well, is personable, engaging, and has prior office support and PA experience. Working in a small but friendly office, our ideal candidate will be comfortable dealing with C suite clients, customer-focused, proactive in their approach, and enthusiastic to work in a team. We are looking for candidates who can demonstrate good communication skills.
Reception Support:
- Welcome and greet visitors to ensure a professional and friendly reception.
- Provide hospitality services (tea, coffee, and water) during client meetings.
- Manage meeting rooms, including setting up IT and AV equipment.
- Organise board lunches and catering as required for meetings and events.
Office Support:
- Assist and provide backup for the two Executive Assistants when needed.
- Handle PA tasks as required.
- Enter and maintain contact data and interactions in the firm's CRM system.
- Assist with office-related tasks, such as printing, binding, and mailing.
- Order and manage office supplies for the stationary room.
- Oversee kitchen supplies and maintain the coffee machine.
- Support in planning and executing office social events.
- Coordinate with building reception/security/maintenance, as necessary.
- Ensure the office environment is well-maintained and up to standard.
