Our client, a reputable superannuation pension provider, is seeking a highly organised, detail-oriented, and proactive Executive Assistant to provide comprehensive executive support to the Chief Executive Officer and two senior executives, including the Head of Governance. The role delivers extensive support across executive coordination, governance administration, and strategic priorities, ensuring the Executive Management Team (EMT) operates efficiently, compliantly, and with clear accountability.
The postholder will also play a key role in supporting the Board and its Committees by coordinating meetings, preparing agendas, maintaining action and decision logs, and supporting the minute-taking process to enable robust governance and effective decision-making. This role and organisation would suit an experienced, resilient, and pragmatic Executive Assistant with a proven track record of supporting executives and boards at senior level, and demonstrable experience working within governance environments and supporting committee structures. This is a hands-on role working for a mid-sized organisation where the emphasis is on longevity, support and accountability.
Key Responsibilities- Executive & EMT Support
- Facilitate Executive Management Team (EMT) meetings by coordinating agendas, collating, uploading, and distributing meeting papers, maintaining the Actions and Decisions Log, and tracking progress against agreed actions to ensure timely follow-up and accountability.
- Provide high-level inbox management for the CEO and senior executives, prioritising correspondence, drafting responses where appropriate, and escalating matters as required.
- Manage complex diary scheduling and meeting coordination for the CEO and two senior executives, liaising with internal and external stakeholders to maximise executive effectiveness.
- Provide cover for the Trustee Governance Manager and members of the Executive Support Team during periods of annual leave, ensuring continuity of executive and governance support.
- Board & Governance Support
- Provide comprehensive administrative support for Board and Committee meetings, including meeting scheduling, agenda preparation, coordination of papers, and supporting the minute-taking process.
- Maintain accurate action logs, decision records, and a central governance resource library to ensure effective record-keeping and audit readiness.
- Work closely with the Head of Governance to support governance processes and ensure adherence to agreed frameworks and regulatory requirements.
- Office & Operational Oversight
- Oversee the day-to-day running of the office, ensuring a professional, tidy, and well-maintained working environment, with line oversight of the Team Administrator in relation to shared office spaces.
- Oversee the coordination of external service providers, maintaining awareness of contractual obligations, service delivery standards, and budgetary constraints.
Salary will be dependent upon experience.
