About the Role:
We are currently recruiting on behalf of our client, a mission-driven charity dedicated to global peace programmes, for a Business Assistant / Receptionist to provide high-quality administrative and front-of-house support. This is a 6-month fixed-term contract ideal for someone immediately available and looking to contribute to a values-led organisation.
This dual-function role involves supporting the Executive Director and wider team, combining reception duties with a broad range of administrative tasks. The ideal candidate will be personable, discreet, highly organised, and capable of managing multiple priorities with professionalism.
We are looking for someone who shares the organisation\’s core values of kindness, compassion, and humility, and who has previous experience in office support or administration.
Key Responsibilities:
- Act as first point of contact for staff, visitors, and suppliers – welcoming and directing guests as needed.
- Manage the visitor sign-in/out process and ensure prompt notifications of guest arrivals or changes.
- Handle incoming calls efficiently and professionally, directing queries or taking accurate messages.
- Manage the Reception mailbox and meeting room calendar.
- Process all incoming and outgoing mail; arrange couriers and taxis as required.
- Provide diary management and administrative support to the Executive Director.
- Process expenses and set up Zoom meetings, including managing recordings and transcripts.
- Monitor and maintain stationery and office supply levels; manage larger ad hoc orders when necessary.
- Oversee the organisation\’s bookshop: process online and in-person orders, handle payments.
- Support health, safety, and fire procedures, including maintaining logs, scheduling training, and tracking compliance.
- Act as liaison with the external IT service desk regarding staff IT needs or issues.
Additional Information:
Salary will be dependent upon experience.
