Job Summary: The Executive Secretary provides high-level administrative support to the Chief Executive Officer (CEO), ensuring the smooth and efficient operation of the executive’s day-to-day activities. Coordinate and manage the CEO’s schedule, including appointments, meetings, and travel arrangements.

Prioritize and resolve scheduling conflicts, ensuring the CEO’s time is used efficiently.

Communication:

Act as the primary point of contact between the CEO and internal/external stakeholders.

Draft, proofread, and manage correspondence and communication on behalf of the CEO.

Handle phone calls, emails, and other communications with discretion and professionalism.

Meeting Coordination:

Organize and schedule meetings, including preparing agendas, arranging logistics, and taking minutes.

Follow up on action items and ensure deadlines are met.

Travel Arrangements:

Plan and coordinate travel itineraries, including booking flights, accommodations, and transportation.

Prepare travel documents and ensure all arrangements align with the CEO’s preferences and schedule.

Manage and maintain confidential files and documents.

Prepare reports, presentations, and other documents as needed.
