Job Summary: The Executive Secretary provides high-level administrative support to the Chief Executive Officer (CEO), ensuring the smooth and efficient operation of the executive’s day-to-day activities. The role requires a proactive, highly organized, and confidential professional who can handle a wide range of tasks, manage complex schedules, and assist in various business functions., * Calendar Management:

  • Coordinate and manage the CEO’s schedule, including appointments, meetings, and travel arrangements.

  • Prioritize and resolve scheduling conflicts, ensuring the CEO’s time is used efficiently.

  • Communication:

  • Act as the primary point of contact between the CEO and internal/external stakeholders.

  • Draft, proofread, and manage correspondence and communication on behalf of the CEO.

  • Handle phone calls, emails, and other communications with discretion and professionalism.

  • Meeting Coordination:

  • Organize and schedule meetings, including preparing agendas, arranging logistics, and taking minutes.

  • Follow up on action items and ensure deadlines are met.

  • Travel Arrangements:

  • Plan and coordinate travel itineraries, including booking flights, accommodations, and transportation.

  • Prepare travel documents and ensure all arrangements align with the CEO’s preferences and schedule.

  • Administrative Support:

  • Manage and maintain confidential files and documents.

  • Prepare reports, presentations, and other documents as needed.

  • Conduct research and compile information for meetings and decision-making.

  • Project Assistance:

  • Assist in the management and execution of special projects and initiatives.

  • Track progress and report on project status to ensure timely completion.

  • Expense Management:

  • Process and reconcile expense reports and invoices.

  • Track and manage the CEO’s budget for travel, entertainment, and other expenses.

  • Personal Support:

  • Provide personal assistance as required, which may include managing personal appointments, household tasks, or other personal errands.

  • Education: Bachelor’s degree in Business Administration, Management, or a related field preferred.

  • Skills:

  • Exceptional organizational and time-management skills.

  • Preferred English Speaking

  • Preferred Female

  • Strong communication and interpersonal abilities.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.

  • Ability to handle sensitive information with confidentiality.

  • High level of attention to detail and accuracy.

  • Fast-paced office environment with occasional need for extended hours or availability outside of standard business hours.
