Job Overview

Join an enthusiastic administrative team at Plymouth Talking Therapies, a local IAPT service providing support for mild to moderate anxiety and depression. The position is based in Centre Court, Exeter Street.

Working Pattern (Non‑negotiable)

  • Monday : 8:00 am – 6:00 pm
  • Tuesday : 10:00 am – 6:00 pm
  • Wednesday : Day Off
  • Thursday : 8:00 am – 4:00 pm
  • Friday : 8:00 am – 4:00 pm

Main Duties

To deliver an effective and competent level of administrative support and consistently provide a client‑focused service, promote good customer service and develop working relationships within the team.

Key responsibilities include:

  • Answering calls, booking appointments, using an electronic patient record system and performing reception duties.
  • Processing referrals and supporting the wider team with administrative tasks.
  • Managing telephone, email and written queries.
  • Arranging appointments, meetings and events, and ensuring necessary equipment and documentation are available.
  • Transcribing and distributing meeting minutes, and maintaining accurate electronic and hard copy information.
  • Collecting data to enable manager monitoring of budgets and performance.
  • Processing invoices and managing stock of office supplies.
  • Supporting the service area users in preparing information and research.

Person Specification

Essential Skills and Experience

  • Working knowledge of Microsoft Office (Word, Excel).
  • Good understanding of confidentiality and data protection.
  • Experience in an administrative environment using computerised data systems.
  • Teamworking ability, strong verbal and written communication, prioritisation and organisational skills.
  • Ability to use own initiative within role limits.
  • Organised, efficient and accurate with flexibility to learn new skills.

Desirable Skills and Experience

  • Knowledge of patient administration systems and data protection legislation.
  • Experience in a health or social care office environment.
  • Computer/Word processing qualifications (NVQ II or equivalent ECDL).

Qualifications

  • Educated to Vocational Level 2 (NVQ 2) in a relevant subject or equivalent.
  • Maths & English GCSE grades 4 and above or equivalent.
  • Intermediate word processing and MS Office skills.

Other Information

Disclosure and Barring Service checks will be required. This role is not eligible for sponsorship under the Skilled Worker route.
