Job Title: Part-Time Finance Officer (3 Days per Week)
Reports To: Finance Manager / Director of Finance
Working Hours: 24 hours per week (08:30 – 16:30, with a 45-minute unpaid lunch break)
Role Purpose
To provide high-quality financial and administrative support within a busy educational environment, ensuring accuracy, efficiency, and compliance in all financial processes. The role supports the Finance Manager in maintaining smooth day-to-day operations across purchasing, payments, and reporting functions.
Key Responsibilities
Finance
- Process orders, invoices, and payments accurately and within agreed timeframes.
- Raise purchase orders, match and process invoices, and prepare BACS payment runs.
- Maintain accurate supplier records and set up new suppliers as required.
- Manage petty cash transactions and maintain related documentation.
- Prepare journals and assist with reconciliations for areas such as printing and IT resources.
- Produce half-termly financial statements for budget holders and support with general reporting.
- Liaise with suppliers and internal budget holders to resolve financial queries promptly.
- Upload and manage financial documents using Xero (or equivalent) accounting software.
Administration
- Provide administrative support to the finance team as directed by the Finance Manager or Director of Finance.
- Assist with financial correspondence and maintain accurate filing systems.
General
- Comply with safeguarding, health and safety, equality, and data protection policies at all times.
- Support the wider administrative functions of the organisation as needed.
- Undertake training as a designated first aider (training provided).
- Maintain confidentiality in handling all sensitive financial and personal information.
- Participate in relevant training and professional development to remain compliant with legislation and best practice.
Person Specification
- Experience working within a finance or accounts department, preferably within education or a similar sector.
- Proficient in using accounting software (Xero experience desirable) and Microsoft Excel.
- Strong attention to detail and high level of accuracy.
- Excellent organisational and communication skills.
- Ability to work independently and manage workload effectively across three days per week.
- A proactive and flexible approach to supporting the wider team.
