At Lothian Pension Fund (LPF), we administer the local government pension scheme (LGPS) in Edinburgh and the Lothians and are one of approximately a hundred LGPS funds in the UK. The Role

To manage and optimise LPF’s SharePoint environment and related collaboration platforms, ensuring secure, efficient, and compliant operations. In addition, the role will act as LPF’s subject matter expert for AI-enabled tools, evaluating risks, supporting adoption, and ensuring responsible use of AI technologies across the organisation.

The key responsibilities will be:

  • SharePoint Configuration & Platform Management
    • Administer SharePoint Online and site collections, including permissions, site settings, and content structures.
    • Configure and maintain SharePoint features such as document libraries, metadata tagging, content types, lists, and site pages.
    • Manage hub site navigation and site hierarchy to ensure logical and scalable architecture.
  • SharePoint Governance & Controls
    • Develop and enforce SharePoint governance policies, including access controls, data protection protocols, and compliance standards.
    • Monitor and manage permissions to prevent oversharing and ensure alignment with organisational policies.
    • Collaborate with IT security to ensure SharePoint environments meet internal and external security requirements.
  • Feature Development & Automation
    • Design and implement workflows using Power Automate and SharePoint Designer to streamline business processes.
    • Build and maintain automations for document handling, approvals, notifications, and data integration.
    • Support the deployment of SharePoint Apps and custom solutions to enhance platform capabilities.
  • AI Enablement & Innovation
    • Support the preparation for and rollout of Microsoft CoPilot and SharePoint agents to enhance user experience, automate tasks, and improve productivity.
    • Evaluate emerging AI capabilities within both Microsoft 365 and third-party tools and identify opportunities for adoption.
  • Training & Support
    • Provide training and guidance to SharePoint users and Site Owners on platform capabilities and governance expectations.
    • Act as a point of escalation for complex SharePoint issues and support requests.
    • Support colleagues with responsible AI usage promoting awareness of risks such as bias, data leakage, and regulatory compliance.
  • Reporting & Oversight
    • Use tools such as Syskit to audit SharePoint site access, monitor usage, and identify high-risk configurations.
    • Maintain documentation of SharePoint site configurations, permission structures, and automation logic.
    • Conduct risk assessments on all proposed AI tools and features to evaluate security, compliance, ethical considerations, and operational impact.

What experience are we looking for?

The following requirements are essential for this role:

  • Previous experience administering SharePoint Online
  • Strong understanding of SharePoint architecture, site collection administration, and Power Platform integration
  • Familiarity with governance frameworks, RACI models, and role-based access control (RBAC)
  • Experience with automation tools such as Power Automate, PnP PowerShell, and SharePoint Management Shell
  • Experience deploying and managing AI-enabled tools (e.g. Microsoft Copilot) and understanding of AI governance principles
  • Excellent communication and stakeholder skills
