Lotessa Patient Voices is a first-of-its-kind Patient and Public Involvement and Engagement (PPIE) panel in the UK that champions the expertise of individuals with lived experience of GLP-1 treatments, such as tirzepatide (Mounjaro), semaglutide (Wegovy and Ozempic), and liraglutide.

Purpose of the role

The PPIE Coordinator will be responsible for the day-to-day operation of Lotessa Patient Voices. This means managing the full cycle of member involvement — from onboarding new panel members through to supporting them through specific activities and collecting evaluation data. The coordinator will also be the first point of contact for partner organisations requesting access to the panel, ensuring all requests meet our standards before being matched to members. The Coordinator does not need to be a GLP-1 specialist. They need to be a PPIE specialist who can apply their expertise in a new, commercially sensitive context and who is comfortable working in a fast-moving early-stage company.

Key responsibilities

  • Member management
    • Manage the onboarding of new Lotessa Patient Voices members - processing registration forms, maintaining the member database, and sending welcome communications.
    • Maintain accurate and up-to-date records of member profiles, interests, availability, and representation categories.
    • Communicate with members in a warm, clear, and accessible way - following person-first language principles throughout.
    • Respond to member queries and support members before, during, and after activities.
    • Monitor member wellbeing and flag any concerns to the CEO.
    • Manage the member database in CRM or equivalent, keeping records current.
  • Activity coordination
    • Receive and triage PPIE requests from Lotessa and partner organisations, checking they meet the Lotessa Patient Voices standards before approval.
    • Match approved requests to the most appropriate panel members based on representation categories, interests, and availability.
    • Draft and issue activity advertisements to relevant panel members in plain, accessible language.
    • Coordinate scheduling and logistics for activities - focus groups, interviews, document reviews, and other formats.
    • Ensure all members receive full briefing materials at least two weeks before any activity.
    • Monitor completion of activities and confirm that member fees and expenses are processed promptly by partner organisations.
    • Chase partner organisations where payment timelines are not being met.
  • Partner support
    • Act as the first point of contact for partner organisations submitting PPIE requests.
    • Guide partners through the request process, helping them develop plain-language activity briefs and adverts.
    • Ensure partners understand and comply with the Lotessa Patient Voices Code of Conduct and payment framework.
    • Collect and review partner evaluation forms following activity completion.
  • Quality, evaluation and governance
    • Collect evaluation feedback from both members and partners after every activity.
    • Maintain records of all PPIE activity in a format suitable for reporting to the CEO and, where relevant, to grant bodies or commissioners.
    • Identify and elevate any process concerns, member complaints, or safeguarding issues promptly.
    • Support the development and review of the Lotessa Patient Voices framework document and member-facing materials as the panel evolves.
    • Contribute to the establishment of the Lotessa Patient Voices Steering Group when the panel reaches sufficient scale.

Person specification

  • Hands-on experience delivering PPIE in a health or research context - not just designing frameworks, but actually running panels, recruiting members, facilitating sessions, and managing the end-to-end process.
  • Thorough working knowledge of the NIHR INVOLVE framework for public involvement, including payment guidance, consent requirements, and accessibility standards.
  • Experience working sensitively and professionally with people who have lived experience of long-term health conditions.
  • Strong written communication skills - able to produce clear, warm, plain-language communications for panel members without clinical jargon.
  • Highly organised and self-directed - able to manage multiple activities and relationships without close day-to-day supervision.
  • Comfortable working in a small, fast-moving organisation where the role will evolve over time.
  • Commitment to person-first, non-stigmatising language and to the values of inclusion, respect, and transparency that underpin good PPIE practice.
  • UK-based, with right to work in the UK on a self-employed / freelance basis.
  • Experience in obesity, metabolic health, endocrinology, or a related clinical area.
  • Experience working within or alongside a digital health company or healthtech start-up.
  • Familiarity with CRM tools for managing member or participant databases (Zoho CRM experience particularly welcome).
  • Experience supporting PPIE for NIHR, Innovate UK, or other health research grant applications.
  • Networks within the West Yorkshire health research or patient involvement community.
  • Experience establishing or growing a new patient panel from the ground up.
