Lost Earth Adventures is a growing outdoor adventure company providing climbing, caving, canyoning, gorge walking, canoeing, hiking, team events and other outdoor experiences across the UK.

We work with everyone from individuals, families and groups of friends to schools, charities and corporate clients.

We are looking for an organised, confident and customer-focused Sales & Bookings Coordinator to join our small office team in Settle.

About the role

This is a hands-on customer service, sales and administration role.

You will often be the first person a customer speaks to when they contact Lost Earth Adventures. Your job is to understand what they are looking for, recommend the right adventure, help turn their enquiry into a booking and make sure everything is properly organised from first contact through to activity day.

This is not a cold-calling sales role. Most enquiries come directly to us from customers who are already interested in an adventure.

However, you must be comfortable picking up the phone, talking confidently to customers, following up enquiries and asking for the booking.

You will also need to be highly organised. At busy times you could be managing a large number of enquiries and live bookings at different stages, so keeping HubSpot, emails, calendars and tasks accurate and up to date is a very important part of the role.

What you will be doing

  • Responding to new customer enquiries by phone and email.
  • Talking customers through our activities and helping them choose the most suitable option.
  • Following up enquiries and quotations and turning suitable opportunities into confirmed bookings.
  • Using HubSpot every day to manage contacts, deals, tasks, notes and follow‑ups.
  • Managing bookings from the initial enquiry through to the activity taking place.
  • Preparing and sending quotations, booking information, confirmations and invoices.
  • Following up outstanding booking administration and ensuring required paperwork has been completed.
  • Keeping accurate customer, booking and sales records.
  • Managing your own diary, CRM tasks, follow‑ups and deadlines.
  • Liaising closely with the Office Manager, Operations Manager and wider team to make sure bookings are properly organised.
  • Coordinating accommodation, transport, venues and other suppliers where these form part of a booking.
  • Ensuring the operations team and instructors have the information they need for upcoming activities.
  • Responding to existing customer questions and helping resolve problems quickly and professionally.
  • Supporting general office administration and taking ownership of additional projects as the role develops.

About you

The right person will enjoy both people and organisation.

You should be comfortable spending part of your day speaking to customers and part of your day making sure the details behind their bookings are correct.

You will need to be able to switch between different tasks, prioritise what needs doing and take responsibility for following things through rather than waiting to be reminded.

Essential experience and skills

  • Previous experience in customer service, sales, bookings, reservations, sales administration or a similar customer-facing role.
  • Practical experience using HubSpot CRM.
  • Confident and friendly telephone manner.
  • Comfortable following up sales enquiries by phone and email.
  • Able to listen to customers, understand what they need and recommend an appropriate product or service.
  • Excellent written communication skills and the ability to write clear, professional customer emails.
  • Strong administration and organisational skills.
  • Excellent attention to detail.
  • Able to manage multiple live enquiries, bookings, tasks and deadlines at the same time.
  • Confident using Microsoft Office and Google Workspace.
  • Able to work independently while also being part of a small team.
  • Proactive and willing to take responsibility for getting things done.
  • Able to work full‑time from our office in Settle.
  • Able to take part in the required weekend working rota.

Experience in any of the following would be particularly useful:

  • Travel or tourism
  • Hospitality or leisure
  • Activity centres
  • Invoicing and payment administration
  • Coordinating accommodation, transport or suppliers

You do not need to be an outdoor instructor or an expert climber, caver or mountaineer.

An interest in the outdoors is certainly helpful, but we are more interested in finding someone who is excellent with customers, commercially aware, organised and confident using our systems. We can teach the right person about our activities and products.

Working at Lost Earth Adventures

This is a full‑time, office‑based position in Settle.

Lost Earth Adventures operates seven days a week, so weekend working forms part of the office rota.

The role suits someone who enjoys working in a small business where days can be varied and everyone contributes to keeping things running smoothly.
