Hours: 3 half days (3 hours 45 minutes per day)

This is a non-technical, non-research role, focused on office management, finance administration, coordination, reporting, and stakeholder engagement, supporting senior academics and directors.

Key Responsibilities
  • Act as the first point of contact for students, academics, partners, and external stakeholders
  • Manage day-to-day administration, meetings, agendas, minute taking, actions, and follow-ups
  • Coordinate across departments to ensure smooth programme delivery
  • Maintain records, databases, travel arrangements, equipment and estates support
  • Monitor and maintain programme budgets
  • Process invoices, expenses, stipends, and financial tracking
  • Support grant-related administration and liaise with finance, contracts, and research services
Information Management & Reporting
  • Maintain accurate records and data for EPSRC and UCL reporting
  • Support reporting cycles and help streamline admin and data processes
Marketing, Events & Communications
  • Support student recruitment activity and marketing plans
  • Manage website updates, branding, content and communications
  • Organise events such as open days, seminars, lectures, and conferences
Networking & Stakeholder Engagement
  • Build strong internal relationships across UCL
  • Liaise with sponsors, partners, and external organisations
  • Support committees and contribute to partnership and scholarship activity
About You
  • Strong background in administration, office management, or operations
  • Experience handling budgets, invoices, and financial tracking
  • Confident with committee support, minute taking, and reporting
  • Excellent organisational, communication, and stakeholder management skills
  • Comfortable supporting senior stakeholders in a higher education or complex organisation
Additional Information
  • Part-time role only (Wednesday–Friday)
  • Onsite attendance required 1 day per week
  • Administrative / managerial role – no research or technical delivery
