The Project Support Specialist plays a vital role in assisting project teams to achieve their goals efficiently. They collaborate with project managers, team members, and stakeholders to ensure smooth project execution and timely delivery.

Physical Requirements: Role may require physical use of ladders and stairway use at Power Generations sites, climbing and accessing hard to reach locations as needed.

Responsibilities:

  • Documentation and Coordination: Maintain project documentation, including schedules, meeting minutes, and progress reports. Coordinate meetings, track action items, follow up on deadlines, and provide responses for customer updates. Manage documentation storage process, upload project intake forms and proposal forms. Assist in developing project proposals and acquiring deliverable estimates from vendors. Support project file consolidation efforts.
  • Resource Management: Assist in resource allocation, ensuring the right people are assigned to tasks. Monitor resource availability and resolve conflicts.
  • Risk Management: Identify project risks, assess their impact, and propose mitigation strategies. Work closely with the project manager to minimize risks.
  • Communication: Facilitate communication among team members, stakeholders, and external partners. Ensure everyone is informed about project updates and changes. Participate in project update meetings with customers and vendors as required.
  • Quality Assurance: Review project deliverables for quality and adherence to standards. Address any discrepancies promptly.
  • Budget Tracking: Assist in tracking project expenses, process/approve invoices, capturing accruals, maintaining budget records, and ensuring financial compliance.

Qualifications:

  • Education: Bachelor’s degree in business administration, project management, or a related field.
  • Experience: 10 years of prior experience in project coordination or support roles preferred. Experience with Power Generation or Power Delivery Projects are a plus.
  • Skills: Excellent organizational skills, ability to work at a high pace with large workloads, strong attention to detail, effective written and verbal communication, proficient in computer applications (e.g., Microsoft Word, Excel, SharePoint, PDF), proficiency in project management tools (e.g., Microsoft Project, Microsoft List, One Note), ability to multitask and prioritise responsibilities.

Attending onsite meetings may be needed on a periodic basis. Travel may be required up to 50% of the time.
