  • Be responsible for the extensive diary management of the brand leads on L’Oréal’s PPDLT
  • Proactively resolve scheduling conflicts and act as gatekeeper according to the GMs priorities.
  • Ensure the agendas for the meetings they own are prepared and cascaded in a timely manner and that agendas for the meetings they attend are shared with them in advance.
  • Work closely with the brand team and provide admin support (including but not limited to): extensive Purchase Order creation and management of trackers where required, travel & accommodation, agendas and meeting ownership for brand Mancom
  • Manage the budget and execution for Mancom events including team offsites, workshops, dinners etc.
  • Support on Brand events where needed across Marketing and PR.
  • Book regional and international travel and accommodation.
  • On many occasions be the first point of contact between senior external stakeholders, senior internal stakeholders. Supporting their relationships with these important contacts is a key priority for this role.
  • Support the new starter and leaver process, including co-ordinating the FIT induction programmes for the direct reports of the GMs
  • Keep relevant Microsoft Teams channels and email distribution lists up to date.
  • Gather and communicate important business information to the GMs teams and be the teams’ point of contact for all administrative queries (issues resolution, IT requests, room booking, catering etc).
  • Support with taking minutes of key meetings.
  • Support with ad-hoc projects both in brand and division.
  • Support with team social events/ this can require evening support.
  • Work in partnership with the Executive Assistant and Business Assistants across the UKI business and other markets to facilitate meeting and event arrangementsreactivation.
