The Groups & Events Manager will be responsible for selling and planning events in both our London Hotels, as well as managing confirmed groups. This regional role requires a proven track record in event sales, strong organisation and communication skills, and the ability to build and maintain relationships with clients. The role will report directly to the Regional Head of Groups & Events.

DUTIES AND RESPONSIBILITIES
  • Sales & revenue generation: Quote rates and space within the pre-defined parameters set by the Head of Groups & Events. Prepare and present customised proposals and contracts for group bookings and event services, negotiating terms to meet both client needs and hotel objectives. Actively up-sell each business opportunity, selling all function space to its maximum capacity and to the right target market. Develop a knowledge of competitor properties and enquiry sales processes. Achieve personal and team-related booking and revenue goals.
  • Client Relationship Management: Serve as the primary point of contact for group and event clients, building strong relationships and ensuring a high level of satisfaction. Conduct site inspections and meetings with clients to showcase the hotel's facilities and discuss specific event requirements. Manage client communications effectively, providing timely and accurate information throughout the event planning process.
  • Event Planning and Coordination: Work closely with clients to plan and detail their events, including room layouts, catering menus, audiovisual requirements, and any special requests. Coordinate with internal departments (e.g., catering, banquet, housekeeping, AV) to ensure all aspects of events are delivered to the highest standards. Oversee the execution of events & groups, ensuring they run smoothly and addressing any issues that arise promptly and efficiently.
  • Administration: Ensure Delphi & Opera systems are up to date with all booking information. Prepare all contracts for customers confirming event-only bookings. Generate function sheets (BEO) for all function space and meetings in the hotel and group resumes for all groups. Send out itemised invoices to all function clients and follow all payment procedures.
  • Reporting: Prepare and attend events pipeline meetings. Attend daily line-ups/weekly meetings, and other meetings as required/requested.
PROFESSIONAL/PERSONAL QUALIFICATIONS

Skills and Knowledge
  • Strong communication and presentation skills (verbal, listening, writing).
  • Experience in hotel operations and service quality levels.
  • Strong organisation and analytical skills in problem-solving.
  • Ability to acquire, maintain and influence relationships e.g., stakeholders, customers, vendors, investors.
  • Knowledge of the markets specific luxury/lifestyle hotel sector.
  • Effective conflict and change management skills.
