About you

You are a highly organised and dependable construction professional with expertise in project documentation and document control. Skilled at managing multiple projects, ensuring compliance, and keeping information flowing seamlessly across teams. Proactive, solution-oriented, and adaptable, with strong communication skills and a hands-on approach to supporting colleagues, troubleshooting systems, and driving project efficiency.

Key responsibilities

Document Management

  • Set up, maintain, and manage project documentation and drawing registers using
    Procore
    as the primary Common Data Environment (CDE).
  • Ensure accurate version control, document numbering, and naming conventions across all projects.
  • Maintain proper filing and control of all documentation, including drawings, RFIs, submittals, change orders, and technical documents.
  • Conduct quality checks on all incoming and outgoing documents to ensure data accuracy and compliance.
  • Create, maintain, and continuously improve a consistent, user-friendly document control system aligned with company standards.
  • Produce project documentation reports and dashboards using Procore tools.
  • Drive adherence to document control processes and standards across project teams and subcontractors.
  • Provide upskilling, onboarding, and ongoing support to project teams and suppliers in Procore usage.

Coordination and Communication

  • Act as the main point of contact for all document control–related queries between site teams, consultants, subcontractors, and head office.
  • Coordinate with design consultants, project managers, and subcontractors to ensure timely submission, review, and approval of documents.
  • Track and document discrepancies, escalating and resolving issues with relevant stakeholders.
  • Schedule and manage document-related deadlines, following up to ensure project milestones are met.
  • Attend coordination and pre-start meetings to understand documentation needs and ensure accurate information distribution.

Site Support

  • Be present on-site to support project teams with document access, updates, and Procore assistance.
  • Ensure the latest drawings, specifications, and technical documents are always available to site personnel.
  • Provide immediate troubleshooting and training to ensure effective document usage in the field.

Office-Based Responsibilities

  • Support project setup and close-out, ensuring all document control requirements are met.
  • Coordinate document flow between internal teams, consultants, and subcontractors.
  • Prepare and manage handover documentation packages in line with project completion requirements.
  • Generate reports and logs in Procore as required by project and company leadership.
  • Contribute to the refinement and standardisation of internal document control systems and procedures.

Key responsabilities

  • Set up, maintain, and manage project documentation and drawing registers using Procore.

  • Distribute documents in a timely manner to relevant stakeholders.
  • Liaise with consultants, subcontractors, and suppliers to obtain and track required documentation.
  • Provide Procore support and guidance to project teams, including onboarding and troubleshooting.
  • Ensure compliance with document control procedures and quality standards.
  • Produce reports and dashboards as required using Procore tools.
  • Take a leading role in refining and standardizing company-wide document control procedures.
  • Maintain accurate records of all drawings and construction documents issued throughout each stage of the project.
  • Process a high volume of documents daily, including quality checks, printing, distribution, and electronic forwarding to ensure a full audit trail.
  • Build strong relationships with the wider construction team to ensure effective cost control and contractual integrity.
  • Track and document discrepancies in issued documents, escalating and resolving them with Project Managers, Design Managers, and stakeholders as appropriate.
  • Create and maintain an efficient, user-friendly filing system (in line with the company\’s Procore manual).
  • Ensure consistent document naming conventions and workflow processes across all projects

Requirements

  • Proven experience working as a Document Controller in the construction industry.
  • Strong proficiency in Procore (essential).
  • Previous experience supporting project delivery teams and senior directors.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple priorities and work effectively under pressure in fast-paced environments.
  • Strong communication skills with the ability to liaise effectively at all levels of the business.
  • Knowledge of document control processes and construction industry terminology (preferred).
  • Proven planning, coordination, and process management skills.
