The Role
Our new Bid Coordinator will play a key role within our Business Development and Proposals team, coordinating the preparation and submission of competitive tenders across public and private sector clients.
Working closely with the bid manager, bid writer and directors, you will ensure all submissions are professionally produced, compliant with client requirements and submitted on time.
This role is ideal for someone who enjoys organisation, managing multiple deadlines and working collaboratively across engineering and professional services teams.
Our new Bid coordinator will coordinate the end-to-end submission processes, maintain proposal libraries and support stakeholder coordination.
Key Responsibilities
The successful candidate will coordinate the delivery of multiple tender submissions, ensuring all client requirements are clearly understood and effectively managed throughout the bid lifecycle.
They will organise bid programmes, coordinate technical contributions, manage document version control and oversee the production of professionally formatted submission documents.
The role also involves maintaining communication with internal stakeholders, supporting clarification responses, managing procurement portal submissions and ensuring all proposals comply with client instructions and company quality procedures.
In addition, the coordinator will assist with business development activities by monitoring tender opportunities, supporting bid/no-bid decisions, maintaining opportunity trackers and recording submission outcomes to help drive continuous improvement and increase future win rates.
Essential Experience
- Minimum 1 years' experience in bid coordination, tendering or proposals.
- Experience working within engineering, construction, utilities or infrastructure.
- Experience coordinating multiple tender submissions simultaneously.
- Strong document management skills.
- Excellent organisational ability.
- Outstanding attention to detail.
- Excellent written English.
- Experience working to strict deadlines.
- Confident communicator.
About You
You will have previous experience working within a bid coordination, proposals or tender administration role, ideally within an engineering consultancy, construction, utilities or infrastructure environment.
You will be confident coordinating multiple projects simultaneously, comfortable working to challenging deadlines and capable of communicating effectively with both technical and senior management teams.
You will possess excellent written and verbal communication skills together with exceptional organisational ability and meticulous attention to detail.
Strong Microsoft Office skills are essential, particularly in Word, Excel and Power Point, while experience using procurement portals, Share Point, Adobe Acrobat or In Design would be advantageous.
