About the role:

As our Contracts Support team member, you will help manage and monitor Facilities & Estates contractors across multiple sites. Reporting to the Real Estates Manager, you'll work closely with F&E Supervisors and contractors to ensure services meet performance standards and deliver value. This is a hands-on, site-based role involving regular contractor meetings, reviewing risk assessments, and support for new projects. Responsibilities:

  • Contract Lifecycle Management: Oversee contracts from initiation to termination, ensuring compliance with obligations and alignment with legal and company standards.
  • Vendor & Supplier Oversight: Build and manage strong vendor relationships, including performance monitoring, SMARTER improvement plans, and addressing non-compliance.
  • Collaboration with Procurement: Partner with Procurement to negotiate, develop, and manage contracts that meet policy, legal, and operational needs.
  • Performance Monitoring & Reporting: Track KPIs, service levels, and outcomes; regularly review performance, document findings, and report to leadership.
  • Financial & Operational Oversight: Manage budgeting, forecasting, and cost-saving initiatives while maintaining service quality and safety standards.
  • System Utilisation (D365): Use Microsoft D365 for PO generation, incident reporting, scheduling, and maintaining accurate service records.
  • Compliance & Best Practices: Ensure documentation (e.g., waste transfer notes) is complete, services are effective, and industry best practices and internal frameworks are followed. Checking of RAMS and associated safety documents. Checking of contractor competencies/training ahead of works. Auditing of contractors with non-conformances noted and addressed.

Requirements:

  • Proven experience in contract management, particularly in an operational environment.
  • Possess knowledge of legislation and guidance around procurement and contract compliance.
  • Strong negotiation and vendor management skills.
  • Excellent understanding of legal and regulatory requirements related to contracts.
  • Financial acumen and experience in budgeting and cost control.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in contract management software and tools.
  • Nebosh Construction or National General Certificate or equivalent (Desirable).
  • SMSTS (Desirable).
  • Good working knowledge of CDM Regulations 2015.
