About The Role:

As the Document and Project Administrator , you will be responsible for managing and maintaining all project documentation, ensuring that documents are easily accessible and properly stored. The role also provides administrative and project support to ensure the smooth operation of project activities. Assisting project managers and team members with administrative tasks, you will be the point of contact for our projects. This role will give you the opportunity to learn the ins and outs of project management and document control.

Key Responsibilities:

Document Management :

  • Maintain, track and manage all project documentation, including drawings, specifications, and reports, ensuring documents are stored in the correct location.
  • Implement and maintain document control processes and procedures.

Project Support :

  • Coordinate project meetings, including scheduling, preparing agendas, and taking minutes, and assisting in the preparation of project reports and presentations.
  • Support the procurement process by managing purchase orders and tracking project finances.
  • Assist in the tracking and reporting of project and business risks and issues, and monitoring project timelines and deliverables, providing updates to the project team.

Communication :

  • Act as a point of contact for project team members, facilitating effective communication within the project team and with external stakeholders.
  • Ensure that all project documentation is distributed to the relevant parties in a timely manner.

Requirements

  • Experience in document control and/or project support roles preferred but training can be provided.
  • Strong organisational and time management skills.
  • Excellent attention to detail.
  • Proficiency in document management software and Microsoft Office Suite.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Knowledge of project management principles and practices including Microsoft D365 is a plus.
