The Production Coordinator alongside our Production Manager is responsible for the continued smooth running of the Broadcast Studios and Film Team. This is a fast-paced role with a wide range of tasks for you to complete, daily. This is broadly an office-based role. We are looking for someone who understands TV, video and film production, but not necessarily with years of experience under your belt. Someone who is a self-starter, unafraid to ask the right questions and use their own judgement to address problems and someone who can stand firm. At core, you must be organised and see how an already well-developed process can be improved.

Responsibilities

  • End-to-end management and responsibility for production workflow and associated budget, across multiple concurrent projects.
  • Looking after team staffing schedule & resourcing calendar - key contact for bookings and communication of schedule to key partners.
  • Pre and postproduction communication, compiling and distributing call sheets and filming schedules.
  • Inform all crew about call times and any schedule changes in timely manner.
  • Setting up planning calls to support brief development for projects.
  • Analysing briefs to plan production and costs.
  • Scheduling shoots and edits based on resource availability; both in-house and freelancers.
  • Assisting on video shoots and live event delivery as the need arises.
  • Coordinating visa applications and carnets.
  • Coordinating the collection of video assets and other pre-production resources.
  • Managing post-production timeline and feedback process.
  • Ensuring deliverables are shared and changes to deadlines are communicated to stakeholders.
  • Completing production paperwork - risk assessments, release forms, filming permits, insurance and ensuring adherence to production, compliance and Health and Safety guidelines.
  • Comfortable with all aspects of production finance - drafting, negotiating and handling programme budgets from internal and supplier rate cards, cost reporting, raising purchase orders, approving expenses, paying supplier and freelance invoices / timesheets.
  • Researching and booking external resources including freelance crew, equipment and catering.
  • Advise internal teams in advance of any cross charges incurred.
  • Onboarding / contracting freelance crew and external facilities companies; Order office inventory as needed; liaising with property and security teams and booking transport.
  • Flexibility is key.
