Role Overview
This is an executive assistant and administrative support role within the CEO Office that is primarily focused on the set-up, coordination, and ongoing calendar management of the CEO’s annual operational cadence and governance rhythm. Working closely with the EA to the Group CEO and other members of the CEO Office, where necessary, the role holder will enable and support effective long-term planning, coordination, and administration across key forums, business reviews, and external engagements. The role-holder will also have opportunities to take on stretch assignments and special projects, from time to time, to further their career progression, growth and exposure. The role-holder acts as a trusted and professional member of the CEO Office, exercising discretion, sound judgement, and attention to detail in a fast-paced and highly visible environment.

Key Responsibilities

  • Annual Operational Cadence and Governance Support
    Set up, coordinate, and manage the annual operational cadence for the CEO Office, including (but not limited to):
    • Business Reviews
    • Divisional and functional townhalls
    • Network roundtables
    • Additional governance or leadership forums as required
    Responsibilities include:
    • Scheduling and long-term calendar planning in partnership with the EA to the CEO
    • Identifying and resolving scheduling clashes across the governance calendar
    • Looking ahead to anticipate changes, risks, or adjustments required
    • Updating and maintaining attendee lists and providing logistics support
  • Calendar, Email, and Administrative Support
    Work closely with the EA to the CEO to provide additional calendar and email support where required. Support scheduling and monitoring the cadence of the CEO’s 1:1 meetings. Assist with coordination, prioritisation, and administrative tasks to support effective planning and execution.
  • Business Review Management
    Manage invitations and attendee coordination for Business Reviews. File and maintain relevant Business Review materials. Provide logistics and coordination support as required to enable smooth delivery.
  • External Engagements and Events
    Register the CEO for external conferences, forums, summits, and other industry events. Liaise with event organisers to confirm event details, costs, compliance considerations, and attendee lists. Manage acceptance and decline processes for external dinners, receptions, and networking events, in line with agreed protocols.
  • Cross-team Collaboration and Ad Hoc Projects
    Support the EA team on special projects and high-profile events as required (e.g. senior leadership lunches, external dinners, international forums). Contribute to process improvements, coordination tools, and shared team initiatives that enhance the effectiveness of the CEO Office and EA community.
  • Stakeholder Management
    Build and maintain strong working relationships with Executive Assistants, senior leaders, external partners, and event organisers. Act as a professional, reliable, and trusted representative of the CEO Office. Exercise discretion, confidentiality, and strong judgement at all times.
