About The Role & Team
The Legal Progression Team Administrator provides essential administrative and coordination support to the sales progression function, ensuring reservations progress efficiently from exchange to legal completion. The role supports strong communication between internal teams, solicitors, agents, mortgage brokers, and customers, helping to maintain momentum, minimise delays, and deliver excellent customer experience throughout the legal sales process.
Key Responsibilities
- Sales Progression & Administration
- Provide day-to-day administrative support to the Sales Progression team across multiple developments.
- Maintain accurate and up-to-date sales progression records on the CRM system (SalesForce), ensuring all key milestones are logged and monitored.
- Prepare and issue reservation documentation, sales memoranda, and contract packs in line with company procedures.
- Track key legal milestones including instruction of solicitors, mortgage offers, exchange of contracts, and completion dates.
- Communication & Coordination
- Act as a central point of contact for internal teams, customers, solicitors, estate agents, and mortgage advisors.
- Chase outstanding documentation and updates to maintain momentum in the sales pipeline.
- Support timely and professional communication with customers, ensuring they are kept informed throughout the progression process.
- Escalate risks, delays, or issues to the Sales Progression Manager where appropriate.
- Compliance & Process Management
- Ensure all files comply with company policies, consumer protection requirements, and regulatory obligations.
- Support compliance with the New Homes Build Quality Code, Anti‑Money Laundering (AML) requirements, and data protection standards.
- Reporting & Performance Support
- Produce regular reports on sales progression status, exchange rates, and completion forecasts.
- Monitor fall‑through risks and highlight trends or recurring issues to support continuous improvement.
- Support the wider Sales and Marketing team with accurate data and administrative insight.
- General Administration
- Coordinate diaries, meetings, and documentation flow within the Sales Progression team.
- Undertake ad‑hoc administrative tasks to support business needs during peak sales periods.
Key Skills And Experience
- Previous administrative experience within residential property, housebuilding, conveyancing, estate agency, or sales progression is desirable.
- Understanding of the UK new‑build sales process from reservation through to legal completion.
- Awareness of conveyancing procedures, mortgage processes, and legal documentation is advantageous.
- Highly organised with strong attention to detail and excellent record‑keeping skills.
- Confident communicator with the ability to liaise professionally with internal and external stakeholders.
- Strong IT skills, including CRM systems, Microsoft Office, and database management.
- Ability to manage multiple files and priorities in a fast‑paced environment.
- Proactive, reliable, and solutions‑focused with a strong sense of ownership.
