Location: London E1 6DY (Two Clinic Locations)

Job Summary:
London Pregnancy Clinic is seeking a proactive and highly organized Clinic Manager to oversee the operations of two clinic locations in London. This role is pivotal in ensuring the smooth running of daily operations, maintaining exceptional patient satisfaction, and leading administrative and clinical staff. The Clinic Manager will be responsible for a wide range of operational, administrative, and financial duties, making this an exciting opportunity for a dynamic individual with strong leadership skills and experience in healthcare management.
Key Responsibilities:
Staff Management and HR Coordination:
- Prepare and manage staff rotas, ensuring adequate staffing levels at both clinic locations.
- Act as the line manager for the admin team, ensuring all team members are clear on their daily responsibilities.
- Conduct training sessions for new and existing staff to ensure compliance with clinic protocols and high standards of service.
- Conduct quarterly and annual staff performance reviews and appraisals to support staff development.
- Assist with recruitment, onboarding, and induction of new employees.
Clinical Updates:
- Act as a point of contact between the clinical staff
- Manage appointments schedule – to make sure that both locations are running smoothly
- Manage rota for the clinicians (open, close appointments, holidays cover)
- Be aware about clinical updates in the clinic, high ricks, follow ups and repot to the Medical Director
Patient Experience and Satisfaction:
- Ensure client inquiries, both online and offline, are addressed promptly and professionally.
- Maintain a high level of patient satisfaction by monitoring feedback and implementing improvements.
- Handle patient complaints or concerns, resolving them promptly to ensure a positive outcome.
- Collaborate with clinicians and other staff to optimize patient flow and reduce waiting times.
Operational Management:
- Manage inventory and ensure equipment is properly maintained and serviced.
- Ensure the day-to-day operations of both clinics run efficiently, including front-desk operations, scheduling, and staff coordination.
- Coordinate with external service providers, such as labs and partner clinics, to ensure timely service delivery.
Compliance and Quality Assurance:
- Maintain compliance with CQC (Care Quality Commission) standards and other regulatory requirements.
- Conduct regular audits of clinic processes, ensuring adherence to protocols and identifying areas for improvement.
- Stay updated on industry regulations and best practices, implementing changes as needed.
Financial and Billing Responsibilities:
- Track and manage patient billing, ensuring accuracy and timeliness of invoicing and payments.
- Track key performance indicators (KPIs) such as patient volume, monthly audits, satisfaction scores, and staff productivity, and report findings to the Director.
Leadership and Collaboration:
- Foster a positive and collaborative work environment across both locations.
- Act as a key point of contact for all staff, addressing their concerns and supporting them in their roles.
- Liaise with senior management to align clinic goals with the overall strategy of the London Pregnancy Clinic.
- Lead by example to promote a culture of excellence, teamwork, and patient-centered care.
