The Small Business Unit is responsible for delivering Grow London Local (GLL) providing a single front door to business support, matching entrepreneurs and business owners to the help they need to grow. In addition, the Small Business delivers the Made Smarter Digital Adoption Manufacturing programme and will be also delivering the new AI Adoption programme starting in November 2026.

The AI Programme is a three-year programme funded by the GLA and aligns with its AI mission, including work to support the future of jobs and expand access to AI skills. It also delivers a key recommendation from London & Partners Business Support Strategy by helping underrepresented founders adopt AI in ways that are practical, inclusive and growth-focused. This is a high-profile and ambitious programme designed to support businesses of different sizes and sectors. The delivery model will offer support at different stages of AI maturity through three connected strands:

  • Explore, building awareness of AI through diagnostics, practical guidance and early-stage support.
  • Adopt, providing expert-led workshops, peer learning and practical support to help firms implement AI solutions.
  • Integrate, offering intensive consultancy and leadership support to embed AI into workflows and drive business transformation.

The role will work with the Senior Service Delivery Manager to deliver the Adopt element of the AI Adoption Programme, designed to help SMEs move from awareness and experimentation to practical implementation. Through expert-led support, peer learning and targeted capability building, the programme will enable businesses to embed AI into specific business processes, build workforce capability and identify appropriate tools and approaches to drive productivity and growth.

Purpose of role

The Small Business Service Executive will support the delivery of the AI Adopt programme alongside other delivery activities to support the Small Business Unit. The post holder will support the delivery of governance systems and processes to streamline operations; the inputting of data into our CRM database system to support the delivery of our digital and in-person business support service to SMEs; the creation of reports to comply with our reporting requirements as well as provide insights that can support improvements in our support for SMEs as well as optimise our operations. In addition, they will lead on operational and logistical support for the delivery of the programme.

Key Tasks

  • Support the Senior Small Business Service Delivery Manager with ongoing monitoring, verification, recording, analysis and reporting of:
    • Progress against milestones, financial, outputs and outcome targets ensuring delivery and quality concerns are raised and tackled promptly.
    • Risks and issues, to ensure awareness and understanding of these and implementation of appropriate and timely mitigation.
  • Provide financial support to the team in creating and maintaining budget spreadsheets, raising and processing purchase orders and invoices, in compliance with L&P procedures as well as collecting evidence of expenditure from grant recipients and ensuring they are compliant with funding rules.
  • Support on all aspects of the team governance, arrange the different project meetings and produce meeting documentation such as agendas, minutes and presentations; support the team in producing and maintaining project documentation such as risk and issue logs, action lists and project plans, as directed.
  • Liaise with the L&P Operations and Compliance Teams to supply data as required for reporting.
  • Support the team to liaise with a range of key stakeholders and other organisations to maintain excellent working relationships and swift delivery.
  • Carry out any other administrative tasks for the project as required, including booking rooms and refreshments, and handling day-to-day enquiries.
  • Manage email inboxes as required to ensure that programme queries are dealt with in a timely and professional manner.
  • Coordination of workshops and events with delivery partners which could include creating and collecting feedback from partners and businesses, venue booking, registering attendees and other associated tasks.
  • Liaise with the Marketing and Comms Teams to ensure that they have up to date information to adequately promote the Adopt activities, collection of marketing materials and case studies.
  • Any other reasonable duties to support the Small Business Directorate.

You’ll have/bring

  • Knowledge of project management, including data analysis, project planning and evaluation.
  • Well-developed IT skills, experience of using financial and content management systems and processes and excellent report writing skills.
  • In-depth knowledge of Excel and other MS Office tools including PowerPoint and Word.
  • In-depth knowledge of database systems (e.g. Salesforce) including data entry and cleansing and experience using CRM systems.
  • Knowledge of data collection software (e.g. Microsoft Forms, Smart Survey).
  • Excellent written and verbal communication skills.
  • Strong interpersonal and customer service skills.
  • Ability to effectively develop and implement work plans.
  • Ability to achieve deadlines and targets, and an ability to work effectively within a target and KPI process-driven environment.
  • Excellent attention to detail with high professional standards.
  • Proficiency in administrative procedures.
  • Experience coordinating events.
