Purpose of role
To support the Corporate Events team in delivery of the event portfolio, ensuring that all events are delivered to a high standard, within budget and that client and partner expectations are met. To raise the profile and brand image of London and London & Partners and achieve agreed event objectives. The role is London-based but will involve occasional evening/weekend work and some international travel.
Key Tasks
- Support and deliver the events and exhibitions for London & Partners as assigned by Events manager.
- Develop detailed briefs and timeline for assigned activities.
- Organise venue searches for specific events.
- Coordinate logistics for internal local events and international trade shows such as facilitating travel, couriers and event collateral.
- Coordinate various suppliers and stakeholders to ensure effective delivery for events including production, catering, sponsors and exhibitors.
- Develop and build effective relationships with external suppliers and London & Partners network of suppliers.
- Help deliver events to agreed budgets as per your line manager and budget holders including identifying potential costs savings.
- Regularly update the budget holder on the planning, development and budget of their event.
- Work with the financial team to ensure all process and procedures are adhered to including creating briefs and tendering process.
- Provide effective communication and briefing of all internal teams, pre, post and onsite at each event.
- Manage external communication with our event partners and stakeholders.
- Help manage events onsite.
- Coordinate event administrative tasks, including collating guestlists, placing event orders, producing event badges etc.
- Attend venue site visits with Convention Bureau team on a regular basis to ensure breadth of knowledge on London venues.
- Undertake other reasonable duties as allocated by the line manager.
You’ll have/bring
- Solid experience of working on a variety of large-scale complex events.
- Understanding of event marketing & design, demonstrating creativity within live events.
- Proven track-record in organising exhibition presence with multiple partners & stakeholders.
- Event supplier management.
- Experience of working with a wide range of partners in a multi-stakeholder environment, with ability to deliver against corporate & partner objectives.
- Meticulous attention to detail whilst able to multitask.
- Good organisational and time management skills with the ability to prioritise workload efficiently, work under pressure and to tight deadlines.
- Computer literate with excellent understanding of standard office packages, particularly Microsoft Office as well as event software systems.
- Strong commercial acumen and financial management skills.
- Flexible and adaptable approach enabling quick responses to changing priorities.
- Highly organised with strong problem-solving skills.
- Enthusiastic, proactive and shows initiative.
