Your role will involve supporting the administrative services manager in the day-to-day running of the administrative service. The Administration Coordinator is the first point of contact for patients and visitors who are referred or admitted to the Accident & Emergency Department or who may be seeking information on patients in the main hospital.
A key part of this role is to ensure an excellent level of customer service and attention to detail is delivered throughout the team. This role provides administrative and clerical support for the department and the Trust, including the electronic admission and discharge of patients. The post holder will be available to work a 24-hour rotational shift pattern, with appropriate breaks. The role includes the accurate and timely input of clinical data into the Cerner system. The post holder must adhere to Trust policies regarding sensitive information about patients.
Work location will primarily be at Ealing Hospital, but the post holder may be required to work at any of the Trust's sites, including providing administrative support across the UTC and ED floors. The role requires flexibility to work across ED and UTC to ensure administration rotas are optimized.
Key responsibilities include:
- Handling routine information exchange with patients, GPs, and staff with tact and discretion, following Trust and Caldicott guidelines.
- Dealing professionally with enquiries from patients, medical staff, and the public.
- Maintaining confidentiality of patient, staff, and business information in line with Trust policies and the Data Protection Act.
- Providing support during sensitive situations, including contact with bereaved families, requiring discretion, tact, and compassion.
- Managing exposure to distressing clinical information with professionalism.
