At London Nootropics, our mission is to help people stay balanced and find their flow - with delicious, best-in-class adaptogenic coffee that supports mental clarity, calm and focus. We launched in March 2020 with a vision to make the best-in-class adaptogen extracts accessible and easy to add to our day to help us stay balanced and find our flow. As we grow, we remain committed to delivering not just exceptional products, but also exceptional care and support for every member of our community.
We’re looking for an Operations Executive to join our team and help keep the engine running day-to-day: from raising purchase orders and maintaining inventory data, to supporting supplier projects and tracking fulfilment performance. If you love getting stuck into details, enjoy working with data and feel proud when things are organised and on time - we would love to hear from you.
About the role
As our Operations Executive, you’ll support the Operations Manager across the core building blocks of our supply chain and ops function. You’ll own key BAU workflows, help keep our databases and trackers accurate and support projects that improve how we work and how we deliver. This is a hands-on role with opportunity to learn fast - perfect for a recent graduate or someone early in their career who’s hungry to grow in a high-pace startup environment.
What you’ll be doing
- Operational BAU: Keep day-to-day ops running smoothly across suppliers, inbound deliveries and fulfilment (in-house, contract packers, UK + US 3PLs) as we scale in the UK and internationally. Work closely with the Head of Ops, fulfilment and B2B teams to align monthly purchasing plans with forecasts.
- Demand Planning: Own the weekly inventory cycle and keep SKU master data and supplier records accurate.
- Purchasing: Draft and raise purchase orders, maintaining clear records of costs, timelines, confirmations and supplier comms and onboarding.
- Operational Reporting & Performance Tracking: Track and report on fulfilment KPIs, delivery performance, OTIF, end-of-month margin reporting and cost-to-deliver trends.
- Packaging / POC Projects: Research and shortlist suppliers, coordinate sample pulls and support new packaging projects.
- Process Optimisation: Identify inefficiencies and implement scalable solutions to improve operations and customer experience.
- AI & Automation: Build, test and maintain AI workflows and agents that support day-to-day ops - from inbox triage and supplier comms to inventory reporting and data clean-up. Spot repeatable tasks and turn them into automations.
We’d love to hear from you if you…
- Are a recent graduate with a genuine interest in wellness and startups.
- Are a strong communicator.
- Have intermediate Excel / Google Sheets skills.
- Enjoy working with data and using it to support your position.
- Are ambitious, a problem solver by nature and hungry to learn in a fast-moving environment.
- Care deeply about making a meaningful impact.
Nice to have
- Exposure to ecommerce ops, fulfilment/3PLs, supply chain or Shopify/tools like Notion.
- Experience working with suppliers or purchase orders in any capacity.
Why join us?
- Be part of a fast-growing, purpose-driven company with big ambitions.
- Work alongside a supportive, motivated team that genuinely cares.
- Hybrid setup after passing probation (we’re based in London).
- Your own MacBook.
- Monthly health and wellness allowance.
- Regular team socials & events.
- Opportunity to shape the future of our operations and grow in your role as we scale.
Join us on our journey to bring best-in-class adaptogens to the world - with this entry-level position, you’ll be part of a driven, positive team with great energy and purpose.
