About the role
The Project Coordinator will work as part of the Project Management team, taking responsibility for the project coordination and administrative tasks across London Marathon’s suite of events. This role will be accountable for the administrative tasks across the program management function. Additionally, the role will be accountable for running the Monday.com boards and Teams channels in line with the overarching project management framework. This will involve coordinating project work, monitoring progress and reporting on event projects to ensure they are completed on time and to a high standard.
The Project Coordinator works closely with the Event Leads and other Project Managers and has responsibility for supporting event project work and work streams. The role will also involve liaising with different areas of the business to track and monitor updates, deliverables and milestones and facilitate meetings to help resolve problems, where required.
Key Responsibilities
- Project Coordination across Events including delivery of event admin
- Project Management support across small scale events
- Accountable for Monday.com project plans, event milestones and deliverables
- Accountable for setting the agenda for Event Planning meetings as per annual planning cycle - take actions, minutes and update Monday.com board appropriately
- Work with the rest of the Project Management Team to ensure a seamless and consistent project management approach across all events
- Manage and track Event planning team actions and deadlines
- Manage Event Delivery meetings & keep projects moving forwards across full calendar cycle
- Accountable for identifying and escalating risks and issues for the project to the Event Leads and Senior members
- Ensure maximum co-ordination of resources throughout the organisation
- Facilitate effective cross functional and interdepartmental planning
- Provide support at key internal and external stakeholder meetings
- Coordinate and arrange meetings
- Facilitate and document Project Management Debrief Process and delivering of report
General Administrative Duties
- Collation of the Event Management Plans to be shared at the Safety Advisory Group Meetings
- Co-ordinate internal and external stakeholder meetings, agendas, minutes, document distribution (LOSPG, LSAG, DPG, MSO)
- Create debrief slides and other project presentations and documentation
- Overseeing the Event Experience General In-Box and the PMO inbox

- Technical
- Project management tool knowledge (Monday.com, or similar)
- Experience in using Teams to manage teams and their ways of working
- Skilled in project coordination
- Strong organisation, scheduling, and time management skills
- Ability to work under pressure in the lead up to events
- Excellent interpersonal skills with the ability to effectively communicate, engage and earn the respect across a diverse team
- Excellent administrative skills and strong attention to detail
